Job Summary

The College of Media, Communication, and Information (CMCI) encourages applications for an HR Coordinator! The HR Coordinator provides professional and technical support to the CMCI Personnel Program Director (director) and Assistant Dean of Administration (AD) and serves as backup payroll liaison to the CMCI Finance & Payroll Manager. Approaching work with a commitment to inclusivity, the position coordinates with CMCI department administrative staff and with the College HR team to process personnel action documents such as offer letters, leave requests, and other items for faculty, staff, and student employees. The position provides administrative support to the director for routine personnel management matters including leave tracking, recruiting, onboarding, and offboarding, and provides general administrative support for CMCI’s personnel management functional area. The position handles situations that involve the need to exercise a high-degree of confidentiality, tact and diplomacy and liaising with Campus HR, University Legal Counsel and other University resources as necessary to handle issues that arise.

What Your Key Responsibilities Will Be

HR Operations
  • Supports the CMCI Personnel Director (director) and Assistant Dean of Administration (AD) with Faculty Affairs and HR processes, projects, and initiatives.
  • Maintains current versions of CMCI’s HR guidance documentation which includes coordinating with the CMCI Communications & Engagement team for publishing to the college website.
  • Prepares personnel data in custom reports, including but not limited to HR metrics data, training data and compensation analysis data, provides preliminary analyses of trends and advises appropriate actions when necessary.
  • Serves as back-up payroll liaison for CMCI Finance & HR Manager when out of the office or otherwise unavailable to collaborate with the campus HR Service Center.
  • Engages in Continuous Process Improvement by recommending updates to CMCI’s HR process guidance documents and making recommendations regarding internal policies, protocols and procedures and appropriate ways to develop and communicate HR processes, protocol, and policies for faculty and staff in an effective and efficient manner.
  • Participates as an active partner in and contributor to CMCI HR projects including but not limited to: employee onboarding process development, periodic preparation of the CMCI Today Faculty & Staff newsletter, website updates, paperless initiatives, etc.
  • Updates and maintains CMCI personnel email distribution lists.
  • Acts as Kazoo employee recognition platform administrator and coordinates communication to employees and other CMCI constituents recognizing employee achievements such as work anniversaries, birthdays, retirements, and so on, as appropriate.
Personnel Transaction Coordination
  • Coordinates the documentation for the College’s cyclical process of hiring, performance management, onboarding, offboarding, work modality arrangements, and leave.
  • Assists with the drafting and processing of faculty offer letters, including regular and temporary faculty, faculty administrator, and summer appointment letters.
  • Liaises with Faculty Affairs, attending and participating in Faculty Affairs Liaison meetings along with the director, and communicates with the Office of Faculty Affairs on behalf of the College, as necessary, in the director's absence.
  • Working closely with the CMCI HR team and CMCI departments, clearly communicates processes throughout the year, provides routine policy and process guidance to departments, and ensures all constituents follow policy and process and meet due dates as determined by CU Boulder personnel policies.
  • Administers CMCI personnel files. Ensures that electronic copies of offer letters, addendum letters, resignation letters, etc. are kept up-to-date in the personnel database.
Support Faculty and Staff Searches and Onboarding
  • Provides support to director, hiring authorities, department chairs and search committees for all faculty and staff searches.
  • Partners with campus HR recruitment teams to understand timelines and action items for each search.
  • Coordinates and participates in search committee inclusive hiring training and provides ongoing advice and guidance to hiring authorities and committees regarding the best interview practices including but not limited to: coaching behavioral interview techniques and competencies based question selection and providing strategies and resources for mitigating unconscious bias.
  • Updates director and AD regularly with process status for searches.
  • For candidate visits with the Dean or Dean’s Office, coordinates with the appropriate department constituents and Dean’s Office Professional Assistant to ensure all CMCI parties are properly notified and prepared for meetings by providing candidate materials, candidate care packages, and other items as needed to ensure inclusive candidate care. This may include providing guidance to hiring authorities and committees on standard methodologies for inclusive and accessible candidate experiences.
  • At point of verbal offer, coordinates a conversation between hiring manager and director to ensure offers are extended and negotiated following College, University, State and Federal policies and laws. Ensures all parties have agreed verbally and understand terms prior to written offer. Coordinates with campus HR and the Office of Faculty Affairs (OFA), as appropriate, for offer letter processing.
  • Coordinates with hiring manager, and internal CMCI teams to ensure onboarding logistics are properly planned and implemented for each new hire. This includes working with campus HR to ensure new employees are attending the QuickStart center, New Employee Welcome Experience (NEW-X), communicating pre-start set up activities to new hires and sharing onboarding expectations with hiring authorities.
Position and Personnel Management Support
  • Provides support to director for regular staff personnel actions by processing position changes and new position request forms for approvals, and processing related addendum letter requests and/or position revisions and new position requisitions through the campus personnel management system (Avature).
  • Provides support to director for temporary staff personnel actions by requisitioning new positions through Avature.
  • Coordinates with the director, campus HR, and hiring manager to ensure proactive communication about status updates and necessary actions to keep processes moving efficiently.

The annual salary is $48,000- $51,500.

  • Bachelor's degree from an accredited institution.

What We Would Like You To Have
  • Knowledge of and experience working with Human Resources management systems/software.
  • Knowledge of basic employment concepts including employee relations, EEO & Affirmative Action, organizational development, performance management, recruitment, etc.
  • Background working in higher education with progressive responsibilities.
  • One year experience serving in personnel administrative support, office management, administrative and/or service support role.
  • Experience with personnel administrative coordination.
  • Understanding of personnel management fundamentals.
