Job Summary

CU Boulder encourages applications for an Administrative Assistant! The Miramontes Arts & Sciences Program (MASP) supports highly motivated students in their matriculation to, retention at and graduation from the College of Arts and Sciences at the University of Colorado. The program provides an academic community for traditionally under-represented students and supplements their classroom experiences with additional academic offerings, community-building events and access to research opportunities. The Administrative Assistant assists constituents contacting the program in person, by phone, and in writing and is focused on delivering high-quality service. This position serves as the receptionist and will manage program e-mails, maintain and monitor the program website and other special projects as assigned, such as supervising work-study students, event planning, and assisting MASP students and faculty/staff.

The Miramontes Arts & Sciences Program (MASP) is an inclusive academic community in the College of Arts & Sciences comprised of motivated students dedicated to pursuing academic excellence at CU Boulder. MASP supports traditionally underrepresented and/or first-generation college students who want to involved in a diverse, multicultural academic enrichment community. MASP is a cooperative and collaborative program that offers a participation scholarship and dedicated space for activities, advising, studying, and seminars.

What Your Key Responsibilities Will Be

Administrative Support
  • Provides students, staff, faculty, and visitors general information, answers calls and monitors incoming and outgoing department email.
  • Provides general and specific information about the department and the University.
  • Refers visitors and/or callers to the appropriate faculty or staff member, or to other appropriate campus offices.
  • Provides clerical support to department administrators, faculty and staff with tasks like word processing, spreadsheets, designing and creating office procedures, forms and records tracking systems, and copying.
  • Maintains internal program communication regarding reminders, policies, procedures, and other important resources and information students, faculty, and staff.
  • Supervises and trains student work-study staff.
  • Schedules appointments/meetings and provides staff support for meetings; takes, prepares, and distributes minutes.
  • Tracks department purchases, processes procurement receipts, makes travel arrangements, and other reservations related to department needs.
  • Opens the office during regular university business hours and closes the office.
  • Monitors inventory and orders office supplies, tracks equipment borrowed/used by students, faculty and staff.
  • Manages computer lab and communicates with OIT about hardware and software repairs and updates.
Program Support
  • Creates and maintains content for MASP website, social media, event presentations and canvas course.
  • Organizes and disseminates the weekly program newsletter and quarterly alumni newsletter.
  • Supervises student clubs within the department and advises student club leaders.
  • Assists with publication activities for the unit including developing and editing program literature, outreach materials, programs, and presentations for special events.
  • Manages controlled enrollments for department seminars, track waitlists and processes student schedule changes when appropriate, including drop/add adjustments and overrides. Generate detailed information on seminar offerings for distribution to students.
Event Planning
  • Coordinates the scheduling for community events, tutoring program, student club meetings, and other program activities.
  • Provides assistance for carrying out events and activities including set-up and take-down, scheduling catering, and other tasks that come up as needed.
  • Works with academic scheduling and conference services to reserve classrooms and event spaces for events.
What You Should Know

The work modality is going to be in person as this is a student facing position, with some flexibility for remote work as determined appropriate by the supervisor.

What We Require
  • Colorado residency.
  • Two years of general clerical or administrative service experience.
    • College, university or non-correspondence business school coursework may substitute on a year-for-year basis for the general experience.

  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Knowledge of website design and management.
  • Interest in interacting with students, parents, advisors, coaches & faculty.
  • Knowledge of academic advising and coaching programs and scope of work.
  • Excellent customer service.
  • Demonstrated ability to work as a team member within a collaborative work environment.
  • Ability to work independently in a fast-paced environment and prioritize multiple projects and requests.
  • Willingness to work a flexible schedule that may include evening and/or weekend events.
  • Strong organizational, planning and analytical skills.
  • Excellent writing and editing skills.
  • Resourceful and demonstrates initiative.
What We Would Like You To Have
  • Bachelor’s Degree.
  • Experience and/or expertise working with diverse populations.
  • Experience with event planning.
  • some managerial/supervisory experience is preferred.
  • Experience working in a role engaging with students/young people is preferred, specifically communities of color.
