Job Summary:

The College of Agricultural and Life Sciences (CALS) is seeking a detail-oriented, collegial, and professional person to join the Office of Academic Affairs. The Student Records and Curricular Specialist supports undergraduate students' matriculation into the college, their progress through our academic programs, their engagement in study abroad and internship experiences, and their successful completion of degree requirements.

This position maintains and updates student information and records to support program integrity and student success. The person in this position must have excellent organization and multi-tasking skills to track and resolve student records across multiple software systems and sources and should be comfortable with shared responsibilities and teamwork. The position works closely with the leadership team in Academic Affairs to address complex student issues that require a detailed understanding of student record software and systems. Problem-solving and a curious, investigative nature are beneficial in this role. The person in this position must be able to have clear and professional communication with students, faculty, staff, and the public, while using discretion and confidentiality when handling sensitive information. Work is often performed under strict deadlines, so prioritization and follow-through is essential.

The Office of Academic Affairs serves as the academic dean's office for all undergraduate students in the College of Agricultural and Life Sciences (CALS) and works with departments to maintain all academic programs including graduate and undergraduate programs. CALS offers 23 undergraduate majors spanning a wide array of disciplines. The Office of Academic Affairs administers the college career services, transitional academic advising services, underrepresented student recruitment and retention, honors programs, QuickStart summer programing, international education, scholarship programs, curriculum and advising oversight, study abroad, and other academic and student affairs. The office is a team-based environment and works in close collaboration with academic and administrative departments across the college and university.

Responsibilities:

Collaborates with and supports students, faculty, and staff in the development, implementation, and maintenance of student records and curricular services.
  • 25% Ensures correct and timely management of student records, course registration, and degree audits within the student information systems
  • 15% Provides direction to students and staff on a variety of academic processes and policies including graduation requirements, academic standing, enrollment, and course change requests
  • 15% Collaborates with students, academic deans, faculty, advisors, and staff to resolve curricular and student record issues
  • 10% Audits and corrects data to ensure accuracy and completeness
  • 15% Implements, interprets, and enforces instructional, professional, and legal standards and regulations related to student, curricular, and academic records
  • 10% Supports CALS Office of Academic Affairs initiatives and programming
  • 10% Audits, updates, and corrects college and program academic information published for students and external audiences

Qualifications:

-At least 1 year of work experience
-Excellent attention to detail and commitment to integrity of academic records
-Strong communication skills, including professional written communication
-Strong teamwork and ability to build collegial working relationships with faculty and staff across campus
-Ability to understand, appreciate, and interact with people from diverse cultures and backgrounds
-Strong organizational and time-management skills
-Ability to manage multiple projects effectively and meet deadlines
-Curiosity and follow-through on detailed aspects of records, processes, and procedures
-Ability to exercise sound judgment with confidential or sensitive information
-Understanding and comfort with electronic software systems, including ability to learn new software
-Ability to gain a broad knowledge of CALS programs and policies as well as University policies and procedures

Preferred Knowledge or Experience
-Experience in an administrative office setting, maintaining student records, and/or working with academic policies
-Experience synthesizing information to provide advice or recommendations
-Experience crafting clear and accurate official notifications to students and faculty

-This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
-Normal hours are 7:45am - 4:30pm, Monday through Friday.
