Job Summary:

The Certified Public Manager (CPM) & Local Government Education (LGE) Administrative Assistant II will play an integral role in providing administrative support to the Certified Public Manager Director, the Local Government Law Educator, and the Local Government Education Program Manager. The Local Government Education program is an integral part of the UW-Madison Division of Extension and works alongside the people of Wisconsin to improve lives and communities.

Extension serves the peoples and communities of Wisconsin by addressing local, statewide, and national issues, improving lives through research-based education, partnerships and facilitation. This position is a part of the Division of Extension's Community Development Institute (CDI). CDI provides educational programming to assist leaders, communities and organization realize their fullest potential. CDI plants and cultivates the seeds for thriving communities and organizations.

This position will:

- Develop LGE programming marketing materials, including program descriptions, Instructors, and dates.
- Proactively collaborate in partnership with LGE Program Manager to plan and evaluate courses.
- Assisting with all phases of the detailed planning, hosting (in person or online), and class evaluation process, including coordinating instructor and venue availability and contracting, keeping class books, master project lists, preparing materials, and assisting with other details as requested.

Responsibilities:

Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
  • 20% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 20% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • 20% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • 20% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • 20% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

- Experience using platforms such as Zoom, Qualtrics, Canva, Adobe Creative Cloud Suite, Excel and other Microsoft Suite products
- Basic accounting knowledge/skills and experience
