Travel & Reimbursement Specialist

The Office of the Controller provides Accounting Services, Contracting & Procurement Services and Shared Services to the Mines community and its numerous off-campus partners in support of the University's mission. This support is governed by the key principles of customer service, regulatory compliance and fiscal accountability.


Accounts Payable duties include:
  • Creates and processes Voucher Requests at the request of the department.
  • Processes Invoices at the request of the departments. This includes, but is not limited to reviewing invoices for appropriateness, completeness, correctness and funding availability, and entering and processing invoices and payment requests.
  • Audits backup documentation, accounting codes, and necessary approvals.
  • Enter Journal Entries into the Expense system to move funds appropriately as requested.
  • Acts as a backup for the Accounts Payable Desk to approve and input VR's (Voucher Requests), Invoices, and TE's (Travel Expense forms) payments Into the Finance System.

Travel Reporting & System Management duties include:
  • Initial preparation of travel and expense reports. During the initial preparation, this position audits the expenses, receipts, and account codes to ensure correctness and University compliance.
  • Audits and approves Travel Authorization (TA) and Travel Expense (TE) reports. Travel Authorization reports are initial travel authorizations used in conjunction with Mines affiliated travel.
  • This position is responsible for assisting with various IT system implementation, system maintenance, testing and approving system upgrades, and varying IT support for the travel and expense management system.
  • The position is also responsible for on-going report preparation training for current employees and all new employee hires.
Front Desk Support duties include:
  • Provides backup for the Service Excellence Specialists/Front Desk
  • Monitor MAPS (Mines Administrative Processing Service) lnbox for AP opportunities and create tickets in the ticketing system and send initial approval request.
  • Intake of New Hire paperwork, verification of 1-9 documents etc.
Minimum Qualifications

Education and Experience:

Three years of technical accounting experience which included use of financial/accounting systems and/or travel and expense systems. Must be able to exercise sound judgment and make decisions independently. Experience must include providing excellent customer service via face-to-face interactions, telephone and email. Must possess outstanding attention to detail, organizational, problem solving and interpersonal skills, along with proficiency with word processing and spreadsheets.

Pay Range

$46,572 - $56,148
