Provide executive level administrative leadership and professional support to VP and Chief Facilities Officer. Maintain confidentiality, discretion and independent judgement dealing with sensitive matters. Manage daily office operations, calendar and minor administrative support to CFAS Directors and Associate Directors. Qualifications
  • Bachelor’s Degree or equivalent 5 – 8 years of work experience in Higher Education.
  • Expert level of problem solving skills, research and data gathering ability, analytical skills, ability to read and interpret documents, ability to prioritize tasks and manage multiple projects.
  • Advanced knowledge and application of Microsoft Office.
  • Knowledge of PeopleSoft and, Newforma Project File Management systems along with experience in the facilities, construction and design industry is preferred.
Job Specific Qualifications
  • Excellent time management and organizational skills, especially the ability to priority and multitask.
  • High level of research and data gathering ability, analytical skills, ability read/interpret a myriad of documents.
  • Knowledge of University organization, policies and procedures is desirable.
  • Detail-oriented with strong organizational and problem solving skills.
  • Effective and professional communication abilities, including being able to communicate with all levels of employees, vendors and University executive leadership.
  • Must be reliable, professional and adaptable.
Responsibilities
  • Provide executive-level administrative leadership and professional support in a highly confidential area using discretion and independent judgment in dealing with sensitive matters.
  • Manage the Vice President’s time for working projects, appointments and special events in accordance with priorities and planning.
  • Manage and coordinate daily office operations including equipment maintenance, supplies and conference room scheduling.
  • Coordinate all administrative support staff work for the Vice President & Chief Facilities Officers direct reports, including the management of information and files and maintain flow of information and work between all departments.
  • Administer activities of the VP in order to maximize the utilization of his time and qualitative effectiveness in the completion of his job responsibilities as they relate to supporting University initiatives.
  • Coordinates the preparation for any participation in major events both on and off campus with other offices.
  • Responsible for ad-hoc and ongoing facts reporting including University Facility metrics.
  • Conduct research and prepare presentations/reports for review.
  • Exercise initiative, independence judgment and tact in handling special projects.
  • Maintain electronic and paper records ensuring information is organized and easily accessible.
