The Department of Earth and Environmental Sciences seeks an Office Coordinator to provide critical operational support for its faculty, staff, and students. The Office Coordinator is present in the office to provide services to campus constituents. This position is highly visible, customer service-oriented, and central to day-to-day office operations. The Office Coordinator will handle a wide range of responsibilities, work closely with staff and the Department Chair, and have frequent contact with the full constellation of university offices. The successful candidate will be flexible in adapting to changes in the work environment, able to comfortably manage multiple priorities, and committed to fostering an inclusive and supportive environment for all members of the Department. Qualifications
High School Diploma with 3 years of experience. Associate’s degree or equivalent preferred plus 2-4 years of office experience preferably in an academic environment. Job Specific Qualifications
Solid understanding of Microsoft Office and Adobe Professional suite, with the ability to create and revise documents. Good oral and written communication skills. Solid interpersonal skills. Good organizational skills, and the ability to multi-task in a fast-pace professional environment. Ability to maintain a high level of confidentiality with sensitive information. Knowledge of PeopleSoft or related system is preferred but not required. Responsibilities
Perform administrative duties and coordinate the office routine:
Serve as initial departmental representative to incoming constituencies as appropriate. Perform customer service duties by providing general information.

Manage and coordinate departmental calendars, schedules, room reservations, and appointments. Maintain departmental files and documentation. Provide general office support.

Assist in the preparation and editing of correspondence, coordinate mailings, and manage department listservs. Maintain and update the department’s website content and social media outlets.

Train, supervise, and provide evaluative feedback for student employees.

Adapt and retool as campus business processes develop over time and, as a result, assignments are reviewed and revised.

Coordinate class schedules and registration for department:
Under the direction of the faculty leaders, enter course/class schedules in-to system. Assist with confirmation of classes each semester (including summer), verifying accurate posting of course-related information to MySlice. Monitor enrollment, identify potential enrollment issues for super-visor review, and provide registration support to students.

Maintain knowledge of and provide support to faculty, staff and students for PeopleSoft, MySlice, OnBase, Blackboard, and class scheduling/class enrollment/curriculum procedures.

Process expense transactions associated with the operation of the office and to support student and faculty research:
Process employee expense vouchers, travel vouchers, credit card reconciliations.

Assist with payroll and time entry processes.

Assist with planning and execution of department events.

Monitor and order supplies and services.

Support graduate program functions:
Monitor graduate program applications and support admissions processes. Coordinate communication to perspective students. Process documentation for graduate awards.

Monitor scholarship credits, financial aid awarded, and graduate assistants/teaching assistants/research assistant awards.

Provide faculty administrative assistance with recruitment plans, grad student events, and student groups.

Coordinate student record information as needed. Respond to inquiries related to graduate program responsibilities, and forward other graduate program inquiries to faculty for response.
