Position Details
The Education Studies academic program is designed to help students acquire a deeper understanding of education and its relationship to society. In this position, you will be reporting to the Chairs of the College of Education Studies ( CES ), providing Administrative Assistant III support for all programs that fall under the auspices of the CES .
Responsibilities include:
- Manage and reconcile College budgets; submit student time, student stipend requests, A/P vouchers, travel reimbursements, and other financial transactions.
- Coordinate the logistics for center events (e.g. speakers, exhibitions, talks) to include scheduling, publicity, room reservations, travel, and catering arrangements.
- Coordinate travel accommodations and transportation for CoES staff, faculty, and guests.
- Maintain department website and faculty/staff listservs.
- Assist in compiling course offerings using CourseLeaf. Liaise with departmental staff to manage cross-listings; edit material for course catalog and university publications.
- Coordinate payment and course-related logistics for Visiting Instructors.
- Assist Chairs in coordinating tenure-track searches (e.g., maintaining records for outreach to candidates; preparing meeting schedules for candidates).
- Maintain departmental social media presence.
- Manage general inquiries via email, phone, and in-person and process incoming mail.
- Serve as building steward, maintain key inventory, distribute keys, update building directories; maintain bulletin boards, check and replenish classroom supplies on a daily basis and process work orders as needed.
- Perform other related duties and projects as assigned.
This position is in the secretarial/clerical bargaining unit. The position works 1365 hours per year, approximately 28 hrs. per week for 43 weeks, with reduced hours during off-peak periods.
Minimum Qualifications
Associates degree and 2 years related experience or an equivalent combination of education, training, and experience.
Intermediate knowledge of Microsoft Word (mail merge, tables, and document management), Excel, and database management programs.
Demonstrated ability to pay attention to detail.
Proven ability to be flexible and multitask on a daily basis.
Effective communication skills.
Excellent customer service skills.
Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.
Preferred Qualifications
Previous experience working in an academic environment. Previous budget management experience. Working knowledge of Microsoft Access (or other comparable database software), WordPress, and Adobe Create Cloud products.
