Position Description
The Department of Statistics seeks a motivated and detail-oriented Financial Assistant to carry out a range of financial and payroll support responsibilities. This includes preparing the full range of departmental financial transactions and responsibility for temporary and student hiring, appointments, and associated payrolls. More specifically, Financial Assistant will:
Prioritize financial requests and prepare a full range of financial transactions; vendor/payee setup, create purchase orders and payment/reimbursement requisitions, work directly with faculty members to facilitate their corporate card and business expense reports in Concur and with students and visitors on business expense reimbursements and payments. Review invoices and reimbursement requests for compliance with University policies and accuracy of account coding.
Become a subject matter expert on financial, procurement, travel and expense reimbursements (including payments to foreign nationals), and payment policies and procedures, which requires communicating regularly and effectively with faculty, staff, students, visitors, and vendors.
Carry out a diverse range of responsibilities that support departmental temporary and student appointments. Meet with appointees for I-9 documentation, prepare/submit appointments, changes in status, and terminations, approve timesheets, run/monitor/file associated payroll reports, and initiate corrective payroll actions.
Run financial reports and monitor expenditures according to defined budgets, assist with monitoring fund balances, actively participate in year-end financial close, and maintain financial files.
Provide general administrative support for departmental faculty, programs, projects, and events as needed, which requires adjusting to shifting priorities.
Facilitate and reconcile annually the petty cash account & process POI appointments.
Serves as a PCard reviewer for admin team cardholders and reviews their charges in Oracle/PCard.
Prepares journal entries, credit vouchers, and cash receipt requests for incoming wires.
Reconciles monthly detailed listings with payment documents in financial files; researches missing documents and troubleshoots issues.
Runs financial reports in HART and assists with fiscal year-end closing activities.

Basic Qualifications
- Minimum of three years of relevant administrative work experience that includes financial or payroll responsibilities.
- Education beyond high school may count toward years of experience.
- BA/BS degree including coursework in accounting is preferred.
- Demonstrated attention to detail and discretion with confidential information are required as is the ability to work independently as well as part of a team in a service oriented academic environment.
- Demonstrated strong oral and written communication skills are essential.
- Computer competency, demonstrated ability to learn and utilize multiple systems, and ability to manage data, including with Excel, for financial reporting is required.
- Work experience in an academic setting with a diverse constituency is strongly preferred.
- Harvard experience with Oracle financial applications, Concur, Peoplesoft, and HCOM systems is a plus.
