The Administrative Specialist is the face for all Residence Hall Facilities incoming staff. The position assists in recruiting, hiring, and on-boarding new staff members. Trains on policies and communicates with all members of the diverse and supportive University Housing Team.

Responsibilities:

Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.
  • 25% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 30% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • 10% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 5% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • 10% Serves on committees and attends meetings, representing the interests of the unit or program
  • 20% Facilitates recruitment, training and onboarding activities for Facilities
Tasks:
  • Coordinates and collaborates with staff and candidates through the recruitment process
  • Communicates timely and professionally regarding updates to processes
  • Compiles and organizes documentation related to recruitment, hiring, onboarding and ongoing training as needed
  • Provides support and assists as needed in the implementation of plans and procedures in the event of an emergency
  • Train, assist and coordinate the activities of student schedules as needed

Education:

Qualifications:

Required Qualifications:
- A minimum of 1 year of hiring/on-boarding experience.
- A minimum of 1 year of employee information management.

Preferred Qualifications:
- 1 to 2 years of training policies and procedures in a large organization/institution.
- Bi-lingual or multi-lingual (Spanish, Nepali, Tibetan, Hmong, Manderine Chinese).

License/Certification:

Preferred
Drivers License - Valid and Meets UW Risk Management Standards

Additional Information:

Primary schedule for this position is 7:30am - 4:00pm, Monday through Friday. Schedule will be determined upon hire.
