Job Summary:

This position is responsible for providing administrative support to the Department of Physics by primarily participating in travel organization and travel reimbursement. This position makes travel arrangements, both foreign and domestic, in accordance with University, State, and Federal travel regulations for UW employees and non-employee visitors. This position also assists with planning and arranging meeting locations, breaks, luncheons, dinners, and social events to coincide with scientific programs. The position works both independently and as part of a team to manage multiple priorities and perform responsibilities accurately, within time deadlines, to meet the business needs of the Department.

Responsibilities:

Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.
  • 25% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 25% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • 10% Prepares and audits complex records, edits documents, and reviews work done by others
  • 20% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • 20% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

Education:

Preferred
Bachelor's Degree
Bachelor's Degree from an accredited College/University is preferred.

Qualifications:

Demonstrated ability to use proper grammar and spelling.
Ability to work quickly and accurately within strict time deadlines.
Computer literacy, demonstrating experience with a wide range of computer software and databases.
Ability to apply policies and procedures to travel and other business transactions.
Demonstrated ability to plan and execute successful events.
