Job Summary

Under the supervision of the Program Director, the Parent and Family Programs Coordinator, New Student and Family Programs will serve as the primary parent/family contact and respond to family concerns, problems, and challenges, as appropriate, including serving as a liaison with other divisions, campus staff and the San Jose community to increase outreach and connection with our Spartan families in the department of Frosh Orientation.

The Coordinator will lead the development and coordination of our parent and family summer orientation programs and be responsible for year long programming intended to provide support and resources to our families, which includes Parent and Family Weekend, presenting at SJSU yield events, hosting parent and family social hours, and developing marketing and communication plans for parent and family outreach. The incumbent will also lead administrative components for the department including the development of an academic planner for students and parents/families, maintain and update our SJSU Parent and Family Portal, oversee the New Student and Family Programs parent and family web pages, update information on our Spartan Link parent and family tracks, manage the parent and family email, and support with the department Live Chat. The Coordinator is also responsible for onboarding, supporting and meeting with the SJSU Family Advisory Board and its committees to complete projects and support student success.

Key Responsibilities

  • Support programmatic efforts during Frosh and Transfer Orientation, including but not limited to set up, assisting with morning/debrief meetings, providing effective customer service to all participants, and facilitation of sessions.
  • Help coordinate the scheduling of events by making arrangements for food services, facilitators and rooms for parent and family programs to accommodate parent/family/supporter needs.
  • Develop and facilitate Parent/Family Orientation sessions including programs that take place concurrently with Frosh/Transfer Orientation as well as evening, off-site, and online programs, in collaboration with campus partners and the Family Advisory Board.
  • Communicate with campus partners to confirm participation of guest speakers and panelists for Parent/Family Orientation sessions and any other parent and family programs.
  • In collaboration with the Program Director, develop and facilitate annual Parent and Family Weekend including creation of the schedule, confirming participation from campus partners and community members, and involvement of the Family Advisory Board.
  • Lead parent/family programming during move-in days/opening weekend, open house, yield events, and other programs as directed by the Program Director and Division of Student Affairs.
  • Develop strategies to recognize and support the students of FAB members including promotion of leadership opportunities on campus, getting involved, nominations for student awards, securing on campus housing, and recognition at graduation
  • Support department staff by answering parents and family member’s phone calls, emails, Live Chat inquiries and welcome guests who visit the department
  • Assists with training programs for undergraduate student staff to be properly oriented and integrated into the work of New Student and Family Programs as it relates to parents and families.
  • Supervise a student parent liaison and serve as work lead for student staff supporting parent/family programs during the academic year and summer orientation programming

  • Knowledge of student success strategies, specifically for first time frosh and their parent(s) and family members

  • Strong fiscal, administrative, and organizational skills
  • Excellent oral and written communication skills
  • Ability to independently research answers to questions and make appropriate contacts of information and resolution of pertinent issues
  • Ability to function independently and organize workload with close attention to detail; manage multiple tasks and timelines; make appropriate decisions following campus policies and procedures.
  • Knowledge of orientation program development and major campus program planning; working knowledge of other student services programs
  • Ability to create programs that are responsive to a diverse and multicultural environment.
  • Ability to work flexible hours. Some evening and weekend hours are required.
  • Ability to advise students individually or in groups on varied and complex matters.


Required Qualifications

  • Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related
  • Three years of progressively responsible professional student services work experience. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.


Preferred Qualifications

  • Master’s Degree in Counseling, Higher Education, or Student Affairs
  • Experience with orientation programming
  • Experience working with parents and families in a higher education setting
  • Strong administrative skills


Compensation

Classification: Student Services Professional III
Anticipated Hiring Range: $4,691/month - $4,750/month
Salary Range: $4,691/month - $6,683/month
