Position Summary: The overall purpose of this job is to support the College’s mission by providing support for the Director of the Pellissippi Academic Center for Excellence and the Instructional Designer for the Academic Center for Excellence. This position provides support to numerous committees including, the Faculty Development Committee, New Faculty Academy, and the Accessibility Planning Group. Furthermore, this position supports the Director of Distance Education and the Online Leadership Team as well as all faculty interested in the work of the Pellissippi Academic Center for Excellence. As needed, this position supports the office of the Vice President of Academic Affairs, Assistant Vice President of Academic Affairs, and other positions in the Academic Affairs division.

Essential Functions:

25% R e po rt d irectly to t h e Center Director. Work with Center Director and Instructional Designer to assist in providing all day-to-day cle r ical a n d a d m i n i s t rati v e s u ppo rt, including, but not limited to creating and m a i n ta i n ing f i les, developing and editing correspondence, and Center data management. Data m a n a g e m e n t act i v iti e s i n c l u d ing d ata collection, data e n t r y, and d e v el o pment and implementation of p r o ce ss es to ensure integrity of data. Work w i th Bu s i n ess O f f ice f o r fi n a n cial re po rting a n d c o n tract s.

25% Assist with sc h e d u ling a n d rese r v ing meetings and locations for the various faculty and staff groups represented by the Academic Center for Excellence. Maintain calendars for the Center Director and Instructional Designer; review, update and inform participants of timelines to assure that timelines are met; prepare and distribute a variety of correspondence, memoranda, flyers, reports, forms, and other materials, including those of a confidential nature; attend meetings and prepare and distribute minutes.

Maintain the Center web page, including development of weekly news and announcements released through the Center.

10% C o n d u ct resea r c h to f i n d n ee d ed i nf o r m a t ion f r o m inter n al a n d e x ter n a l so u rce s ; a ss i s t d e v el op i n g re po rt s ; s c h e du le, a r ra n g e m e n t, a n d c o nf i r m a ppo i n t m e n t s a n d m eet i n g s . P r o v ide re p o rts a n d resp o n d toi n q u iri e s as r e q u ested. R esp o n d to r o u t i n e i n q u iries v ia p h o n e a n d e - m ail. 10% Assist the members of the Faculty Development Committee, Online Leadership Team, Accessible Information and Materials (AIMT) Committee and other related faculty and staff groups. Ma n a g e p re p a r ati o n a n d c op y in g, p ac k ing a n d m ail i n g o f m eet i n g m ate r ial s . Provide a pleasant office area conducive to productivity and with all needed supplies for the various committee meetings.

5% Maintain supplies for adjunct office areas on Hardin Valley Campus and satellite campuses as needed. E x ec u te o t h er d u ties a s as s i gn ed o r as a p p r o p riate.

Job Requirements:

· Certificate in Education, Human Resources Development, Business, Management or a related discipline

· Experience in advanced-level computer applications

· Training in Microsoft Office applications. Candidate must have a demonstrated proficiency in Microsoft Office applications

· Two years of experience in an administrative assistant role

Part-time work experience is calculated at 50% credit of full-time work experience.

Preferred Qualifications:

· Associates Degree

Skills/Abilities : Document management; Proficient in MS Office and Adobe Acrobat; Demonstrated ability to work and communicate effectively and efficiently within multiple levels of an organization; Knowledgeable in creation of accessible documents; Adaptability; Team work.

PACE document processes are developed and maintained;

Data is collected and entered accurately;

Filing systems are set up and maintained;

Meetings and events are scheduled accurately and take place as planned in an organized manner;

PACE news and announcements are developed and distributed accurately and in a timely manner;

Minutes are taken accurately and distributed in a timely manner;

Calendars are up-to-date and accurate

Scope of Responsibility:

This position includes, but is not limited to, meeting and event planning, management of office supplies, procurement of supplies, document and data collection and management. It is a multi-faceted and challenging role that requires keen understanding of the use and application of varied technical skills.

Nature of Contacts:

There are interactions with internal and external vendors, department secretaries, department deans, as well as current and prospective students.

The nature of these interactions is to gain understanding of new procedures internally, to secure supplies and resources for the department both internally and externally, and leave any visitor to the office or the campus comfortable and not feeling as though they have been given a run-around.

Physical Demands: The person in this position should be able to lift a minimum of 20 pounds in order to move supplies and/or small furniture pieces, be able to walk around the campus comfortably, and sit at a computer for significant periods of time.

Pay Rate: $28,330 - $34,410/per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application.
