The University of Indianapolis is seeking applications for an Administrative Assistant for the Departments of Criminal Justice, Anthropology, Experience Design, and Philosophy & Religion. This is a 44-week per year, 37.5 hour per week, full-time, non-exempt staff position. The person in this position serves as the first contact for students, faculty, staff and visitors. This position is responsible for managing the departments' office and the needs of the chairs to include scheduling management, organizing meetings, interacting with other administrative units on campus and arranging special events. The Administrative Assistant will also assist faculty members with general administrative duties, which may include mail, copying, distribution, make-up assessments, office supply ordering and inventory.


  • Serve as receptionist (in person and via phone)
  • Perform a broad range of tasks including managing, tracking, and reconciling both small and large budgets
  • Manage the hiring, supervision and tracking of student employees
  • Provide administrative support to the department chairs
  • Provide administrative support coverage to other Shaheen departments and functions
  • Manage special projects that frequently arise as academic and administrative priorities change. Special projects vary but may include accreditation, student testing, student tracking, student outreach events, alumni tracking, course enrollment and managing faculty advisees and web updates
  • Serve as a resource to faculty regarding effective and efficient day-to-day operations
  • Budget responsibilities may include credit card reconciliation, department wide accounting and grant accounting
  • Order and distribute supplies
  • Maintain multiple databases


  • Two or more years of experience as an administrative assistant or in a similar position are required
  • The ability to create and maintain large and complex Microsoft Excel spreadsheets and Microsoft Word documents is required
  • High school diploma or GED required
  • Experience with at least a subset of the following is helpful: databases, Google apps, ordering, inventory, and budget management
