Responsibilities:
  1. Provide confidential administrative support to the Human Resources Division.
  2. Perform data entry; draft, compose, edit, and prepare a variety of correspondence, agreements, contracts, and other documents related to a wide variety of employee matters.
  3. Sort and prioritize mail and prepare documents for administrator's personal reply or signature.
  4. Research, collect, analyze, and monitor data for Human Resources reports, review and verify data accuracy.
  5. Track statutory leaves and communicate status.
  6. Organize and scan files and documents.
  7. Assist in processing new employees.
  8. Maintain and update administrator's calendars as assigned; schedule and coordinate meetings.
  9. Interpret, apply, and explain information related to Human Resources rules and regulations, research and respond to requests and questions.
  10. Prepare presentations utilizing various presentation software and technology.
  11. Prepare and distribute meeting agendas; take meeting minutes.
  12. Assist with recruitment processes and scheduling interviews.
  13. Make and confirm training or conference reservations as assigned.
  14. Greet visitors. Answer and screen telephone calls.
  15. Perform related duties and responsibilities as required.


Knowledge and Abilities:


Education and Experience:
Any combination equivalent to: two (2) years of college level course work in business administration, human resources, or a related field AND four (4) years of increasingly responsible administrative support experience.

Minimum Qualifications: (Faculty and Academic Administrator Positions Only)


Desirable Qualifications:
  • Strong organization and detail skills, flexibility, reliability, interpersonal skills using patience and tact.
  • Data entry, DocuSign, Excel, and document scanning experience highly desirable.


Salary
$26.68-$37.93/hour 

Start Date

As soon as the successful candidate is identified and following the subsequent governing board approval.

Work Schedule:
Days and times to be arranged within the hours of operation of Monday-Friday: 8:00 a.m.-5:00 p.m. Maximum of 25 hours per week.  Successful candidate may be assigned to any of the campus sites (Chula Vista, National City, Otay Mesa, and/or San Ysidro).
