University Housing units include Business Services, Dining Services, Facilities Services, Promotions & Student Recruitment, and Residence Life. Position Summary
The Administration Manager oversees administrative functions for Residence Life and University Housing, including executive-level support to the Director of Residence Life & Educational Initiatives, department administrative coordination, and operations management including Human Resources and Business functions. This position is integrated into the Residence Life leadership team and serves as a resource to departmental leadership (10 OAs), while working closely with Residence Life staff and University Housing's Business Operations teams. This position handles many sensitive issues and must maintain confidentiality and exercise excellent judgment in a fast-paced environment with frequently changing priorities. This position supports daily operations of the DRLEI's office including preparing analysis and background information for meetings, leading discussions, completing assignments, scheduling, consulting and coordinating business practices including purchasing, budget, policy, and travel functions, as well as Human Resources functions such as search management and staffing planning, onboarding and offboarding, professional development and training, policy questions, and consultation on emerging issues and best practices.

This position requires independent decision making and good judgment, and acts as a consultant to colleagues in matters related to department coordination. Decisions made in this position relate to problem solving and responding to issues in a manner which mitigates confusion and contributes to successful resolution before issues become problems, assisting with crisis situations, anticipating the DRLEI's needs, and solving problems regarding office efficiency. Requires excellent interpersonal and communication skills as this position works with all levels of University staff and public. This is a full-time, 12 month position, and may supervise student employees or other administrative staff where budget permits.

Minimum Requirements
Bachelor's Degree from an accredited institution, with a minimum of three years experience in office management (An additional two year's experience, demonstrating progressively increasing responsibility, may be substituted for the educational requirement)
  • Three years experience providing high-level executive support.
  • Two years experience in Human Resources administration OR an equivalent combination of education and subject matter expertise in one or more areas of HR administration (recruitment, onboarding, payroll, etc.)
  • Experience supervising or leading the work of others.

  • High level of proficiency with the Microsoft Office Suite (Word, Excel, Outlook, and Powerpoint) and ability to learn and master other software programs/applications as needed.
  • Demonstrated commitment to a socially just, multicultural, and inclusive learning environment.
  • Ability to establish and maintain effective and collaborative working relationships with colleagues.
  • Ability to assess and meet the needs of a wide variety of people while recognizing the needs of underrepresented and underserved students at the University of Oregon.

  • Experience working with University of Oregon systems, policies, and procedures.
  • Experience working with Banner, Concur, Kronos, or other integrated data and reporting tools.
  • Experience managing students and staff within the higher education context.
