Position Title Administrative Coordinator Overview
Provide secretarial and administrative office support to the Chaplain and Campus Ministry.
Essential Duties:
1. Enter data into spreadsheets. Maintain and reconcile financial accounts; process payments; prepare and transmit reports and vouchers. Obtain required forms from companies and individuals prior to processing requests for payment. Maintain records of participants’ payments for Habitat for Humanity, immersion service trips, and various retreats.

2. Answer phone, greet and direct visitors to appropriate areas or persons. Seek celebrants for Masses when regular celebrant is unavailable. Manage student office workers and work with student leaders to provide support for scheduled events.

3. Produce correspondence and documentation through typing, word processing, formatting, collating, photocopying, binding, arranging for printing, etc. according to the standards of the department and the College. Proofread documents produced by other staff members for content, language, and grammar.

4. Conduct research using internet, email, and telephone to obtain miscellaneous information requested by staff (e.g., information about retreat centers).

5. Coordinate calendars for meeting attendance, reserve/schedule meeting rooms. Input Physical Plant work orders for Campus Ministry/Peer Ministry events, and make arrangements as needed for equipment, seating, and refreshments. Organize and maintain calendars, schedules, filing systems, and records that may include confidential information. (10%)
Schedule Mass intentions; maintain sympathy records; prepare monthly letters regarding First Friday and anniversary Masses. Marginal Duties:
1. Prepare and maintain records, files and databases some of which may be confidential.

2. Sort, open and distribute individual or departmental incoming mail and prepare outgoing mail. Order and maintain office supplies.
Perform all other duties as may be required Education and Experience Required
  • High School education or equivalent.
  • Three to five years’ of related experience or an equivalent combination of education and experience.
  • Working knowledge of word processing and database systems required.
  • Excellent organizational and communications skills also required.
