Administrative Support III Center for Constitutional Studies

Summary:
The Center for Constitutional Studies (CCS) is looking for a highly motivated new team member with a strong commitment to excellence and a passion for the U.S. Constitution and the Center's mission to increase constitutional literacy at the local, state, and national levels.

CCS is a dynamic, active academic institution involved in research and education both on and off campus. CCS has grown considerably in recent years, adding research projects, K-12 outreach programs, and student, part-time, and full-time staff. This position will play a key role in maintaining that energy and growth.

Under direction of the Executive Director, the Administrative Support III, performs and/or oversees a variety of associated administrative, fiscal, staff support, and planning activities. Some of which require advanced or specialized knowledge and skills, such as budget administration, facilities scheduling, inventory control, specialized record keeping, travel planning, and/or specified information-gathering, projects and tasks. Coordinates and facilitates meetings, program functions, and special events as appropriate. Trains and orients new employees. Assists in the administration of CCS student scholarship programs.

Breakdown of Key Roles and Responsibilities:
40% Coordinates the preparation and submission of various reports, including timecards, ePAF's, new hire paperwork, requisitions, purchase orders, index tracking and reconciliations, budget balances, etc. Establishes, updates, and maintains the center's files, inventories, ordering, receiving, billing, distributing, and reconciling expenditures. Regularly reviews all budgets and financial activity with the Executive Director. Maintains and updates databases, records and/or other documents.
Develops and maintains data and performs routine analysis and calculations in the processing of data for recurring internal reports. In coordination with UVU Institutional Advancement and UVU Financial Aid, administers CCS student scholarship programs.

30% Performs advanced and confidential administrative support duties, including composing routine correspondence; preparing meeting agendas and taking meeting minutes; and obtaining information requiring factual understanding and knowledge of policies/procedures of both assigned and work-related areas. Also performs standard administrative support duties, including receiving and assisting visitors to the Center; answering phones; resolving administrative problems and inquiries; and, maintaining schedules for the Center and, as needed, its staff.
Proactively discovers and implements solutions that increase operational efficiencies and effectiveness.

20% Collaborates with numerous on-campus and off-campus entities to coordinate large conferences/guest speakers and activities. Arranges travel for the Center's staff and invited guests, including airfare, hotels, and ground transportation.

10% Performs other job-related duties as assigned.

Required Qualifications:
Graduation from an accredited institution with a bachelor’s degree and one year of related experience or an associate’s degree with three years of related experience, or any combination of education and/or experience totaling five years.

  • Knowledge of best practices in events, communications, correspondence, and appropriate matters of etiquette in various circumstances.
  • Knowledge of computer systems and software essential to the completion of assigned duties.
  • Skills in office methods, techniques, practices and procedures.
  • Skills in the preparation and interpretation of reports, charts, graphs, and tables.
  • Strong skills in interpersonal, problem-solving and decision-making skills.
  • Exceptional skills in customer service orientation and phone etiquette.
  • Skills in the use of computers and computer software applications including word processing,
  • Skills using spreadsheets, email, internet, databases, and presentations.
  • Ability to plan and anticipate potential changes and act accordingly.
  • Ability to communicate effectively and follow oral and written procedures and instructions.
  • Ability to effectively engage people from a wide variety of backgrounds, circumstances, and cultures.
  • Ability to maintain confidentiality at all times.
  • Ability to perform a variety of administrative support duties with minimum supervision.
  • Ability to learn and effectively use new computer programs and applications.


Preferred Qualifications:
Minimum qualifications plus strong experience in university administration.


Physical Requirements:
Work is normally performed in a typical interior/office work environment.
No or very limited exposure to physical risk.
No or very limited physical effort required.
