Under general supervision, the Human Resources Shared Services Representatives delivers first line customer service support to the University on various HR subject matters. The individual responds to employee inquiries and leadership requests, identifies issues and escalates as needed. The HR Shared Services Representative provides technical, transactional, communication and systems support to the University, HR Business Partners and Centers of Expertise. The HR Shared Services Representative monitors the HR Shared Services email inbox, answers phone calls and as needed distributes action items to team members while providing accurate, reliable and timely responses to internal and external customers. This position is responsible for performing the duties and responsibilities with minimal supervision and instruction, and a high degree of accuracy with superior customer service. The HR Shared Services Representative II will provide all the same support while also handling more complex, non-routine issues and audits.

Qualifications

• Bachelor’s degree or an equivalent combination of education and experience

• Minimum of 2 years experience in Human Resources is preferred.

• Specialized knowledge in Benefits, HRIS or Compensation is desired.

Responsibilities

• Review, verify and enter or upload data to the HRIS . Prepare and review position, compensation, and employment information submitted by departments and process related transactions. Process changes to health benefits, retirement contributions, and tuition. Process transactional and operational data activities for the academic units that result in changes to the HRIS .

• Provide direct customer service to all current, prospective, retired & terminated employees by responding to inquiries and leadership requests. Provide accurate, reliable and timely responses to HR Shared Service Center emails, phone calls and walk-in requests. First point of escalation for HR Representative I. Distribute action items as needed and escalate complex issues as needed to Senior HR Shared Service Advisors or Manager HR Shared Service Center.

• Provide benefit administration support: conduct new employee benefit orientation, assist with benefit changes using HRIS and vendor portals, respond to employee questions, process family status changes and ensure proper documentation is provided. Ensure compliance with University polices as well as federal and state regulations. Review and monitor the daily mechanics, reporting and processing of specific benefit plans to ensure compliance and eligibility.

• Audit data for federal and legal compliance as well as University policies, procedures and eligibility (compensation, system, benefits plans, pay notices, I-9, social security, etc.). Assist employees with in-depth and sensitive medical concerns.

• Seek continuous process improvements utilizing HR tools and knowledge of task. Demonstrate expertise in HR systems & workflow analysis resulting in process improvement recommendations. Participate and lead special project work for HR.
