Position Description:

PROGRAM SUMMARYThe Otter Student Union (OSU) provides facilities, programs, services, activities, and meaningful leadership & employment opportunities that promote campus life. Funding support for OSU operations is generated from student fees. The Otter Student Union (OSU) is a 501©(3) nonprofit corporation and operates as a legally separate entity from California State University, Monterey Bay (CSUMB). Although a legally separate entity, the OSU is a fully integrated part of the CSUMB campus. The Otter Cross-Cultural Center (OC3) is a unit of the OSU. POSITION SUMMARYUnder the general supervision of the Associate Director of the Otter Student Union (OSU) and the overall direction of the OSU Board of Directors, the Operations Specialist will have functional responsibility for the Otter Student Union (Building 552) and Black Box Cabaret (BBC, building 81) including the day-to-day operation (maintenance and custodial), as well as some responsibility for scheduling and event support. The Operations Specialist also assists the Associate Director in tenant relations and coordinates student employee hiring, training, evaluation, and scheduling. ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
  1. Coordinates and monitors all aspects of the functional operations and management of the BBC and Otter Student Union, including maintenance and upkeep, customer service, the information desk, game room, inventory, service requests, exhibits and event hosting, improvements and renovations, tenant support, space assignments & allocations, and on-site supervision of events. Recommends policies and procedures to address a wide range of services. Creates and maintains relationships with appropriate individuals and departments on campus, ex: Facilities, University Police, Conference, and Event Services. (50%)
  2. Provides guidance and leadership for operations student assistants. Designs, plans, and coordinates all recruitment, hiring, orientation, training, leadership development, retreats, and evaluation materials for operations student staff. Manages student staff scheduling. (20%)
  3. Responsible for registered and recognized student organization room scheduling process, including event support coordination (ex: room set-ups, transitions, audio/visual equipment, and staffing) for BBC and Otter Student Union. (20%)
  4. Serves as the building manager for the BBC and Otter Student Union, including acting as the emergency and safety coordinator, and ensures compliance with the Injury & Illness Prevention Program (IIPP). (10%)

Other Functions:
  1. Actively participates in department meetings, training programs, collaborations, retreats, and planning sessions.
  2. Attends seminars and conferences to maintain program and professional development.
  3. Promotes and maintains an atmosphere of excellent internal and external customer service.
Performs other job-related duties and special projects as assigned

Knowledge, Skills and Abilities:
Ability to: The incumbent will demonstrate the ability to independently plan, organize and coordinate projects with competing work demands; work quickly and with a high degree of accuracy adopt effective courses of action; ability to carry out a variety of professionally complex assignments without detailed instructions; ability to interpret and evaluate descriptions and explanations of problems, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; ability to anticipate problems and address them proactively; and to develop and maintain accurate budgetary reports.

Minimum Qualifications:
Experience: Possession of this knowledge and ability is typically demonstrated through the equivalent of two years of professional experience in facilities management, custodial, or in a related field; experience should give evidence of competence and indicate the potential for further growth. An associate’s degree in a job-related field may be substituted for one year of professional experience
Education: Equivalent to a high school diploma and professional experience in areas related to facilities management or custodial. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required experience on a year-for-year basis.

Specialized Skills:
Technical skills associated with standard University Union/Student Center operations, governance, and organization. Strong skills related to group facilitation and training, individual and group advising, supervising students, and student leadership development. Experience with 25Live and student organization management software programs and/or ability to quickly understand and learn new software. Experience with custodial work or maintenance work is a plus.

Preferred Qualifications:
Previous facilities management experience. Ability to remain calm under pressure and to multi-task in a fast-paced environment. Excellent written and oral communication skills, presentation and facilitation skills, time management and interpersonal skills; group facilitation and training skills, individual and group advising, and student leadership development skills. Excellent human relations skills; strong conflict resolution skills; and organizational skills with strong attention to detail. Strong personnel, supervision, and budget management skills. Demonstrated knowledge of California State University policies, executive orders, and Title 5. Technical fluency with Microsoft Office Professional Suite, Oracle-PeopleSoft/CSU Common Management System or equivalent baseline system; Internet and intranet browsers, and Google mail and calendaring programs. Highly desirable: Demonstrated understanding of and commitment to CSUMB’s Founding Vision.

Compensation and Benefits:

The hourly hiring range for this position is $23.00 - $25.00. This is an hourly position and as such is eligible for the overtime provisions of the Fair Labor Standards Act.
