Position Summary

UB Business and Entrepreneur Partnerships ( BEP ) is seeking a Startup Program Assistant to support activities of the Startup Ventures and Incubator Operations teams. The Incubator @ CBLS is a recently renovated space downtown on the Medical Campus where growth startups access affordable spaces, support, business expertise and student talent to accelerate success. The Startup Ventures team provides support through programs and services to the bold thinkers, dreamers and doers who make bettering the world their life’s work, creating lasting impacts in the Western New York Community and beyond.

You will provide administrative, logistical, and operational support for both the facility and programs/services offered. This is an opportunity to engage in the exciting world of startups in Western New York and be part of BEP teams that learn from and support those advancing innovations by connecting them with experts and resources.

Under the direction of the Startup Program Manager, the Startup Program Assistant will have the opportunity to work with many of the units within BEP and clients of BEP providing the following support:

Program/Event Support
Assist with promotion, coordination, and logistics of events, such as educational workshops, presentations and casual gatherings, which could be virtual or in person, specifically by:
  • Coordinating schedules
  • Booking and confirming event space/room reservations
  • Creating promotional materials and signage
  • Tracking event RSVPs and attendance
  • Refreshment and/or room preparation including AV equipment assistance




Operational, Administrative & Client Support
  • Regularly staff reception desk at the Incubator @ CBLS and provide professional & friendly customer service by:
    • Directing clients to resources to help build relationships with all occupants & guests
    • Assist clients with equipment in the building and other issues that may arise, ensuring client needs are met as immediately as possible.
  • Daily checking and maintenance of co-working space, event space, rooms, building monitors, signage coffee, snacks, and office supplies.
  • Ensure spaces are in good repair, and prepared for incoming startup companies, orient them to the space, and assist in troubleshooting/solving issues upon move-in.
  • Ensure website, intranet and event monitors are up to date with current information.


Database Support
Use Customer Relationship Management ( CRM ) System and application management system – training will be provided.

Minimum Qualifications
  • Well organized, flexible, collaborative and able to manage the logistics of multiple programs and events simultaneously with attention to detail
  • Demonstrate sound judgment, critical thinking, and attention to detail.
  • Comfortable communicating the status of schedules/projects, flagging outstanding items and following up on them.
  • Capable of working and communicating with clients, internal stakeholders, partners, and vendors.
  • Education and/or experience equivalent to an associate degree.
