Job Description:

BASIC FUNCTION:

The Office of International Programs oversees study abroad, exchange, international student services and international student recruitment. With regard to study abroad and exchange the OIP supports an average of 175 students annually who choose to study abroad on provider, exchange or faculty led programs. Students choose from a portfolio of over 200 approved programs offered in over 45 countries. The Assistant Director position will oversee the daily operations of all semester and year-long study abroad and exchange programs. This individual will manage semester and year-long study abroad advising ; provide a wide range of student services pertaining to all stages of the study abroad process (for prospective, outbound, and returnee students); facilitate close collaborations with various academic and student affairs offices across the university to coordinate campus resources for study abroad students; manage contractual arrangements and communications with providers and partner institutions and conduct ongoing assessment of programs. This position requires in-depth knowledge and experience in study abroad; an in-depth understanding of campus academic, financial, and risk management policies and regulations; and performance of duties requiring tact, sensitivity, cultural competency, organizational skills, and flexibility.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Provide individual advising to students on study abroad opportunities from inquiry through the application process and program enrollment with attention to the academic, professional, personal and financial context of each student
  • Develop and oversee the implementation of a marketing and communication plan for study abroad programs annually including website, print materials, info sessions, study abroad fairs, social media and outreach with academic and student service areas who support student advising.
  • Oversee the implementation of and ongoing management of the technical software to administrate the study abroad advising, application and travel processes (e.g. Terradotta)
  • Establish an updated annual portfolio of approved programs for semester study abroad in collaboration with program providers and partner universities and maintain up to date information on available courses, program details, pricing and contractual relationships.
  • Develop and maintain participant materials for application, acceptance, registration, orientation, reentry and evaluation specific to programs within portfolio.
  • Coordinate comprehensive pre-departure orientations and reentry meetings for all study abroad programs for both student and faculty constituents
  • Establish and maintain links with other areas of the Salve campus as appropriate for the smooth management of the student's study abroad experience (e.g. Business Office, Registrar, Student Conduct, Financial Aid, Academic Departments).
  • Conduct overseas site visits and ongoing research to maintain oversight of the quality of programs offered and provide for accurate student advising on program details
  • Manage data collection and analysis for assessment and evaluation of study abroad programs and generate reports for the Office of International Programs
  • Update materials related to the health, safety, and security of students participating on all Salve Regina education abroad programs
  • Assist the Director of the Office of International Programs with financial management, crisis management and insurance issues
  • Assist the Director, in conjunction with a faculty task force, in the development and implementation of a pre-departure and re-entry course which will frame and integrate the study abroad in the larger student experience
  • Serve as an ex officio member on the faculty International Programs Committee
  • Provide training and oversight to the Global Ambassador peer mentoring program and to the Study Abroad Student Association (SASA)
  • Participate in international organizations and professional development opportunities when possible
  • Interpret, explain and apply government, university, and host country regulations and policies.
  • Assists with overall budgeting, goal setting, office planning, and special projects.

Requirements:

A Bachelor's degree minimum is required. Master's degree in international higher education administration or related field is preferred. A minimum of three years of director experience in study abroad administration and study abroad advising is preferred for Master's level candidates and five years for Bachelor's degree candidates. Previous experience working with study abroad providers, exchange partners and program development is desired. Must possess good judgment in dealing with students. Must have the ability to work as a team member, but also initiate projects independently. Strong oral and written communication and interpersonal relations skills are required. Strong analytical skills, computer proficiency, and demonstrated use of computer applications, and web based technology.
