JOB DESCRIPTION

The Dean's Office for the Shaheen College of Arts and Sciences (SCAS) is accepting applications for an Administrative Assistant and Lecture/Performance Coordinator. This is a full-time, 37.5 hour per week, non-exempt position. This role will provide administrative support to the Dean's Office and coordinate the logistics of the Lecture/Performance program.

RESPONSIBILITIES

  • Oversee the hiring, scheduling, and management of at least six student assistants, meeting with them regularly to schedule their work at approved lecture performance events
  • Organize meetings and events, including the monthly SCAS faculty meeting, SCAS Curriculum Committee meeting, SCAS Graduate Curriculum Committee meeting, a yearly SCAS Department Chair retreat, and a bi-annual SCAS Administrative Assistant meeting
  • Collect curriculum proposals from departments, confirm all signatures, coordinate and type the agenda, ensure the agenda is distributed to the committee members along with others who may be participating
  • Type and distribute the SCAS Faculty meeting agenda to the SCAS faculty
  • Collect L/P application request forms from organizations requesting L/P credit for an event, reviewing the forms making sure they are filled out correctly and adhere to the L/P guidelines
  • Generate an agenda for the L/P committee meeting (1st Tuesday of the month), and distribute the agenda to the committee
  • Record and distribute meeting minutes
  • Notify applicants of the approval of their events
  • Maintain a database of all L/P approved events
  • Post L/P credit approval for the approved events on the My UIndy Calendar of Events
  • Post student L/P grades (credit or no-credit) for all students currently registered for L/P
  • Communicate via email, phone, or personally with L/P applicants and students who may have questions regarding L/P events


QUALIFICATIONS

  • At least three to five years work experience as a higher-level administrative assistant or in a similar/relevant position is required
  • Strong familiarity with MS Office is required
  • Large document and spreadsheet management skills are essential
  • Familiarity with databases (Excel, Word, Adobe Acrobat) required
  • Strong interpersonal and communication skills are required
  • High school diploma required; some college preferred
