Primary Duties and Responsibilities:

Job Title: Manager of Admission Processing

Department: Enrollment

Reports to: Chief Enrollment & Retention Officer

Status: Full-time, Benefit Eligible

Location: Lisle Campus

Position Summary: Reporting to the Chief Enrollment & Retention Officer, the Manager of Admissions Processing manages the day-to-day operations of the admissions administrative team and databases (Peoplesoft & Salesforce). Develops, plans and administers admissions processing policies and procedures.

Essential Job Responsibilities:

1. Manages activities of the Admissions Processing department including creating, implementing, administrating and evaluating projects, processes and services impacting the university operations from an admission perspective. Monitors compliance with government regulations. Oversees the retention, security, and confidentiality of applicant records.

2. Researches and troubleshoot issues from a systems perspective and designs strategies to resolve admissions system and procedural problems. Coordinates system related efforts with the IT department on a consistent basis.

3. Supervises admissions processing staff. Hires, evaluates, and trains staff. Create strategic plans, goals and benchmarking for the team in line with the University strategic plan.

4. Collects and analyzes a variety of complex data and information regarding admission, matriculation, registration, and withdrawals. Collaborates with staff, faculty, administrators and internal departments to find methods of improvement.

5 . Create an admission processing annual calendar of events and tracks benchmark activities for forecasting purposes. Revise forms that are utilized by students and staff for admission and registration purposes.

Other Functions:

1. Participates in a variety of meetings, committees, taskforces, and other related groups to communicate information and facilitate continuous improvement of programs and services.

2. Collaborate with key university personnel regularly to stay current on policies, procedures and deadlines

3. Supervise student workers.

4. Other duties as assigned by supervisor.

Required Qualifications:



Education: Bachelor’s Degree required

Experience: 5-7 years’ experience working in process management and data security in an academic setting with diverse communities; experience leading collaborative teams.

Specific Skills: Strongly articulated support for the University’s Catholic and Benedictine mission. Excellent interpersonal, problem-solving, communication (written and spoken), organizational skills. Computer and digital proficiency (desktop applications, web-based applications, and social media). Familiarity with Salesforce CRM and PeopleSoft. Knowledge of applicable Federal, State, and local laws, rule, regulations, codes and statutes. Ability to manage multiple priorities including relating well to students, staff, and faculty of diverse intellectual, cultural, and national backgrounds. Strong planning and organizational skills, ability to manage multiple tasks. Strong leadership skills. Ability to handle confidential and sensitive situations with diplomacy and excellent judgement and to act calmly and objectively.

Specific Knowledge, Licenses, Certifications: Candidate must be proficient in database management (Peoplesoft) and CRM experience (Salesforce).

Physical Requirements: While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to touch, handle or feel; and reach with hands and arms.

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Use of computer screen, phone and customer service. May require bending, or sitting for long periods of time. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Working Conditions: Normal office environment. Nights and weekends sometimes required.
