DIVISIONAL OVERVIEW

The Division of Biological Sciences is comprised of four academic sections (Cell and Developmental Biology, Ecology Behavior and Evolution, Molecular Biology, and Neurobiology), which reflect broad foci in faculty research and in the academic programs offered by the Division. Each section is headed by a Chair, reporting directly to the Dean, and Chairs work individually to represent their faculty, research programs and initiatives, and collaboratively on multi-section and Division-wide initiatives and needs. The Dean is responsible for the overall health and direction of the Division.

 

The Division’s centralized Administrative Support Core provides administrative services to all the members of the Division and is overseen by the Assistant Dean. The Division has 111 Research Faculty, 16 Professors of Teaching, 41 Adjunct Faculty, plus ~87 academics in various titles (professional researchers, adjunct faculty, permanent and temporary lecturers) approximately 350 staff in career, casual and casual restricted titles; approximately 5,500 undergraduate students in 7 majors; approximately 400 graduate students in 5 degree programs; approximately 150 post-doctoral researchers; total annual course enrollment of 29,000 students; more than $40 million per annum in extramural funding, and approximately $50 million in total annual expenditures.

 

The Division occupies space in 17 buildings, totaling over 300,000 SF, including teaching laboratories and instructional support space, research labs, recharge facilities and a research field station. Total state and extramural payroll is approximately 1,150 people (distinct individuals paid over 1 year), for a total of $25.7M including faculty, other academics, staff and student titles, and involves members of 9 bargaining units.

 

The Dean's Office includes the Dean, Associate Deans, the Assistant Dean, Director of Undergraduate Education, a team of three development officers, and staff for communications, alumni relations, corporate relations as well as clerical and support staff.

 

POSITION OVERVIEW

Reporting to the Dean of Biological Sciences, the Assistant Dean serves as the lead financial and administrative officer for the Division of Biological Sciences and provides leadership and oversight in all areas of operation, including long-range strategic planning; resource administration, financial, space management, facility operations and recharge; renovation, renewal, and capital projects; academic personnel and faculty recruitment; institutional and policy development and analysis; administrative leadership; and collaboration on educational, outreach, communication, development, research initiatives, and fund-raising efforts.

 

The incumbent supervises and works with the Divisional Business Officer to provide leadership, oversight and direction to staff in the Administrative Support Core (Human Resources, Academic Personnel, Divisional Finance, Contract and Grants, Health and Safety, Information Technology, Facilities, and Student Instructional Services) and to develop a high performing team that meets the evolving needs of the Division.

 

The incumbent serves as a resource and strategic partner for the Dean, Associate Deans, Section Chairs, Divisional Business Officer, and senior administrative managers, providing advice and data-driven analysis on a wide variety of issues. Represents the Division on Academic Affairs and University-wide committees as appropriate.

QUALIFICATIONS

• Bachelor's degree in related area and / or equivalent experience / training and significant post-degree academic and/or private-sector management experience. An advanced degree in the biological sciences or closely related field is preferred.

• Thorough knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll. Demonstrated experience in financial and accounting systems, including modeling, forecasting, and planning. Ability to develop and implement such systems.

• Excellent skills to work collaboratively and act persuasively in sensitive situations; skills in conflict management techniques. Proven ability to identify and address issues before they become a crisis, effectively and efficiently facilitate and resolve conflicts.

• Excellent interpersonal skills to effectively lead, motivate and influence others and to develop and maintain high standards of customer service. Strong interpersonal, leadership, and supervisory skills, with a proven record of working collaboratively while achieving outcomes. Proven ability to function effectively in a diverse, evolving, and high-performance environment. Proven ability to maintain confidentiality in sensitive situations. Ability to use tact, diplomacy and discretion with emphasis on flexibility and professionalism.

• Excellent project management skills, including the capability of managing capital projects. Demonstrated ability to project budget costs, coordinate multiple projects, adapt programmatic objectives to changes in resources, and establish priorities as affected by budgetary issues.

• Very strong ability to quickly evaluate complex issues and identify multiple options for resolution.

• Demonstrated management experience with proven ability to analyze, interpret and apply good management and business principles, practices and techniques.

• Demonstrated organization, assessment, problem solving, negotiation and decision-making skills with expertise in clarifying and resolving conflict situations and developing attainable goals and procedures.

• Excellent ability to establish metrics for department and employee goals.

• Excellent oral and written communication skills, that demonstrate correct grammar usage, syntax, editing and format, with ability to communicate clearly and effectively to a diverse group of people. Proven ability to understand and interpret complex materials and data and to formulate and present oral and written material in a logical and comprehensive manner.

• Thorough knowledge of common organization-specific and other computer application programs.

• Demonstrated skill to locate, identify, analyze and synthesize large quantities of financial or other data, identifying needs and developing recommendations.

• Demonstrated ability to work independently, under pressure, using good judgment, with an appropriate sense of priorities and the ability to maintain a high degree of professionalism.

• Demonstrated ability to use initiative, creativity and resourcefulness to accomplish goals.

• Commitment to the university as an academic enterprise. Understanding of the value of basic biological research and training, with the ability to convey this to others.

• Thorough knowledge and understanding of the higher education community, including its policies, procedures, practices, and culture is preferred.
