The Department of Physical Medicine and Rehabilitation seeks anAdministrative Coordinator who will coordinate administrative functions for the Department of Physical Medicine. This role completes tasks assigned by the Department Administrator at the East Baltimore location, performs a variety of clinical and administrative duties to support the PMR faculty and supports the Department Post-Acute Care (PACT) Program. The Administrative Coordinator will function as the department’s clinical practice liaison and will exercise discretion and judgment in resolution of day-to-day operations.

Specific Duties & Responsibilities:

Clinical Duties:

  • Performs daily coordination of scheduling follow up visits, simulations, scans, labs, etc. for patients.
  • Corresponds with PMR providers to ensure visits are scheduled accordingly.
  • Coordinates both internal and external studies, referrals, imaging scans and labs.
  • Answers phones daily to provide information as needed regarding patients.
  • Fax/e-mail medical records to providers upon patient request with signed consent from patient.
  • Scans documentation into medical records.
  • Assists providers and nursing staff with daily requests.

Administrative Duties:

  • Manage calendar.
  • Prepares and maintains CVs.
  • Maintain licensing log for providers and submit recertification and license renewals with the appropriate time frame to ensure continuity.Submits reimbursements.
  • Orders office supplies.
  • Compiles and distributes weekly staff schedules.
  • Maintains files for department.
  • Submits invoices.
  • Monitors fax machine and distributes faxes to appropriate team members.
  • Monitors email messages and directs to the appropriate team members.
  • Assists with editing.
  • Performs miscellaneous related duties as assigned.

Minimum Qualifications(Required):

  • High School diploma/GED
  • Three (3) years related experience.
  • Additional education may substitute for required experience, to the extent permitted by theJHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Special Knowledge, Skills & Abilities:

  • Detail oriented, self-motivated, strong interpersonal skills.
  • Ability to use personal computer; proficiency in Microsoft Word and Excel; database and spreadsheet knowledge.
  • Able to work independently, and effectively prioritize and manage multiple tasks with concurrent deadlines and demonstrate excellent time management skills and efficiency.
  • Highly attentive to detail and deadlines.

Starting Hourly Pay Rate Range:$17.59 - $24.80/hr (commensurate with experience)

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
