Position Summary

The Senior Administrative Assistant provides administrative support to Criminal Justice and Legal Studies faculty, instructors, staff, and students in our department, and all visitors that may contact the department.

Essential Job Functions of Position

The Senior Administrative Assistant provides administrative support to the Criminal Justice and Legal Studies faculty, staff, and students. Essential job functions of the position include but are not limited to:

Responsible for providing quality customer service and fulfill receptionist duties to all visitors that may contact the department. Provide or obtain information in response to inquiries or specific issues that arise, contacting students as necessary to facilitate communication.

Serve as liaison between faculty, the Chair, and students.

Maintain calendars, schedules, and plan events and meetings. Reserves meeting space and equipment; compiles, types, and copies meeting agendas; notifies participants; assembles handouts and information packets; and handles other meeting details to organize department meetings, advisory board meetings, and special events.

Maintain office supply inventory and order supplies as needed. Oversee use and maintenance of office equipment. Initiate repair or maintenance as needed.

Establish and maintain student and other department files, ensuring the confidentiality of sensitive information. Copy, assemble, and distribute correspondence, tests, and other documents, as appropriate.

Assist with ordering textbooks and desk copies as requested by instructors following Bookstore procedures.

Enter student overrides into appropriate software programs to assist faculty and adjuncts. Prepare outgoing and process incoming mail.

Track and maintain records of expenditures alert the Department Chair to issues and concerns as they develop. Compile information, complete and submit payment vouchers, travel forms, and other budgetary forms to initiate payment as required by University policy and procedure. In addition, record and track invoices and procurement card use to maintain an accurate record of Department expenditures.

Interview, select, supervise, train and evaluate student workers employed by the Criminal Justice and Legal Studies department.

Perform additional job-related duties as assigned or as appropriate.

Non-Essential Job Functions of Position

Education and Experience

High school diploma, GED, or equivalent. Two years of experience providing administrative support or completion of a course of study at the post-secondary level in Office Management/Support and one year of experience providing administrative support or college degree and work experience in an office environment; preferably with a Learning Management System.
