Job Description:

Position: Full-time, 12 month, TEAMS Exempt Staff Position
Date of Expected Hire: As soon as possible
Salary: $55,000 - $62,100 Negotiable based on qualifications and experience. Comprehensive and highly competitive leave and benefits package.

Responsibilities:

50% Grants Pre and Post Award Financial Management

  • Coordinate with PIs to develop and prepare budgets, calculating personnel, operating and facilities costs for all research proposals (internal and external). Stays informed of and advises PIs and other departmental personnel on current policies and procedures from both internal and external sources as they relate to research proposal budgets.
  • Inputs proposal budgets into UFIRST system and monitors routing and workflow approvals including: award and sub award budgets, effort commitment changes, budget revisions, and grant modifications.
  • Will implement awarded budgets into university financial system and work closely with faculty and PI for revision of budgets when required, no-cost extensions, cost-share tracking, and cost analysis.
  • Liaises with UF Contracts and Grants regarding grant budget questions and modifications. Corresponds with concerned parties and troubleshoot issues.
  • Provides post award fiscal management to ensure compliance with UF policy, Cost Accounting Standards, and funding agency regulations and to assist in keeping grant projects within the budget schedule. Ensures grant-related payroll distributions are entered in the system and serves as liaison with other UF departments in completing any grant related Payroll Distribution/Retro Request. Coordinates and assists with grant related travel including travel authorizations and expense reports.
  • Completes faculty effort reports that include sponsored research.
  • Reviews and researches discrepancies, identifies appropriate corrective actions, and completes journal entries to correct expenses.
  • Maintains and updates Grants Chartfield List of Accounts.


25% Internal Award Financial Management

  • Manages all internal College and University faculty awards including but not limited to Faculty Enhancement Opportunity (FEO), Scholarship Enhancement Fund (SEF), Academy of Distinguished Teaching Scholars, Teaching/Advising Awards, International Educator Awards, UF Research Professorship, University Scholars Program, Teacher/Scholar Award, Faculty Mentoring Program, Student Awards, Commencement, Sabbaticals and Professional Development Leaves, Sustained Performance Evaluations, etc.
  • Recommends new or improved processes and keeps the leadership and college faculty and staff abreast of changing policies in these areas. Communicates these policies through website updates and other correspondence.


15% Grants Reporting

  • Meets at least quarterly with PIs.
  • Prepares monthly Grants Summary Report for Finance Director and Associate Dean.
  • Prepares any specialized external grants financial reports. Provides other reports, as needed, to all concerned parties.
  • Assist UF Contracts and Grants personnel and PI in preparing and confirming final financial reports for funding agencies.


10% Research Development

  • Works closely with the Associate Dean of Research and Strategic Initiatives to implement and create department processes, procedures, and faculty/staff/student training related to the grants area.


Work Location: Initially 100% main campus (Fine Arts Bldg A). Open to shifting some percentage of that to remote work should the candidate be interested.

Expected Salary:

$55,000 - $62,100 Negotiable based on qualifications and experience. Comprehensive and highly competitive leave and benefits package.

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience.

Preferred Qualifications:

The successful candidate will bring to the position:

·Professional level accounting experience with grant and fiscal management

·Experience with proposal and grant award management system, financial management system and enterprise reporting tools

·Good judgment in handling sensitive and confidential information

·Experience in tracking grant expenses and making corrections to budget allocations.

·Ability to design, implement, and interpret accounting methods

·Knowledge of accounting principles, practices and procedures

·Knowledge of State regulations and procedures for salary, payables, and budgeting functions

·Ability to compile fiscal data and maintain fiscal records

·Ability to work well independently and collaboratively in a team environment to accomplish goals

·Familiarity with research, teaching, and community engagement practices in the arts and humanities

· Ability to learn new skills and areas of expertise adaptively

· Interest in mentoring student assistants

·Strong planning, analytic, and organizational skills.

·Strong verbal, written and interpersonal communication

·Knowledge of Microsoft Office, including Excel, Word, Outlook, and TEAMS

·Flexibility, and ability to adapt and work in a rapidly changing academic environment

·Commitment to contributing to a respectful and caring community for all, including individuals of diverse backgrounds, experiences, races, ethnicities, gender, sexual orientation, and perspectives
