Provide day-to-day operational & administrative support to faculty, staff, and administrators in the Project Advance department as well as PA high school partners, including students, parents, teachers, and administrators. This position serves as the initial point of contact for incoming phone calls, live chats, and email inquiries from the PA community and is also responsible for office mailings, school record updates, supply inventory, and purchasing requests, as well as any special office projects. Qualifications
Associate’s degree required, Bachelor’s degree preferred.

4-5 years of experience working in a business or higher ed office environment. Job Specific Qualifications
Excellent oral and written communication skills.
Spanish speaking desirable.
Strong attention to detail and time sensitive deadlines.
The successful candidate must have superior interpersonal customer service skills.
The ability to manage simultaneous tasks, be organized with the ability to prioritize work.
An individual who can demonstrate initiative and be able to multi-task in a fast-paced professional environment.
Trainable in MySlice or Peoplesoft functions. Responsibilities
Office Support: Mailing, tally checks/credit cards, email communications coordinator, course description updates, SI materials, online application review (duplicate apps., no class, duplicate class, amp). Assist with financial assistance, invoice mailing as needed.

Update PASS Database with new HS and Student information, course description and instructional materials as well as maintaining up to date information for all faculty, visitor, staff and instructors. Special projects include but not limited to certificate mailing, SI materials (printing and ordering materials), equipment sign out coordinator, Xerox machine and physical plant maintenance coordinator.

Provide Excellent Customer service assistance via phone and email. Maintain coordination of all outgoing correspondence to out HS partners, parents and students. Including emails, and hardcopy mailings.

Purchasing of all supplies for PA office via ePro, JPMC credit card, id and requisitions. Maintain inventory spreadsheets from PA and Warehouse, books for SI and inventory of hazardous materials. Coordinate material purchasing from Dupli and other jobs that require Dupli intervention. Physical Requirements Tools/Equipment Application Instructions
