The College of Lake County is currently searching for a Senior Office Assistant for the Student Services Center. This position has primary responsibility for assisting the Director with implementation of educational support services for the Lakeshore Campus and the day-to-day operations of the Student Services Center. Interacts with Business Services, the Library, Learning Assistance Center, Student Development, and Division Offices to ensure that appropriate courses, programs, and student support services are provided at the Lakeshore Campus. Assists the Director in identifying, scheduling, and delivering academic courses and programs.

1. A high school diploma or equivalent.
2. Strong organizational skills
3. The ability to be accurate and detail oriented.
4. Strong (intermediate) Excel and Word skills.
5. At least two years of progressive responsibility office work experience.
6. Strong customer service experience.
7. Sound quantitative skills.
8. Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work. Desired Qualifications
1. Experience with scheduling software, R25 in particular.
2. Bilingual proficiency in English and Spanish.

Please note this is a split-shift position, Monday – Thursday, 12:30 p.m. – 9:00 p.m. and Friday, 8:00 a.m. – 4:30 p.m., at the Lakeshore Campus in Waukegan.

Student/Customer Service: 25 %
  1. Provides support services information for student access including Financial aid information and packets, general registration information, transfer guides and college reference materials, job placement and scholarship information, CLC brochures and class schedules, transcript requests, change of information forms, testing information, tutoring schedules, tuition fee information, Bookstore information, and information regarding other college departments or outside social services agencies.
  2. Provides assistance to students seeking placement tests including Academic Proficiency Tests, Adult Basic Education, GED, ESL, and Intensive ESL, Basic Nurse Assisting, and other tests recommended by faculty and counselors.
  3. Provides support services to Counselors, Financial Aid, and Career Services staff including scanning and maintaining document imaging forms, updating the College transfer guides, maintaining a daily activity log, assisting in the development of forms to meet the needs of counselors and the Student Services Center.
  4. Provides office assistance by maintaining career and education catalog reference materials, assisting students in accessing materials, answering incoming calls and routing and processing appropriately, updating the career information board and other bulletin boards, maintaining CLC job bulletin book and processed Collegiate Employment Network ( CEN ) forms, assisting in the development of publicity materials, ordering and maintaining adequate office supplies, updating course outline/description file, making referrals to other college departments and external social service agencies, assisting in the registration process by entering and sending applications to admissions, assisting in the process of collecting tuition, fees, and other bill payments, and assisting in the functional supervision of student employees.


Data entry/records coordination: 70%
  1. Assists in the daily operations of the Student Services Center by maintaining the day-to-day Student Services Center’s operations.
  2. Assisting in the implementation of activities consistent with the goals and objectives of the Student Services Center
  3. Assisting the Director in planning, developing, and promoting ways and means for improving services to students, generating all reports including reports of student and staff complaints made to the Director and data and statistical reports
  4. Assisting in establishing procedures to assure confidentiality of student records and recommending new procedures, programs, and activities to the Dean.
  5. Assists Academic Program Scheduling by assisting the Director with the identification of program needs for the Lakeshore Campus and northeast Lake County
  6. Monitoring the use of rooms and processing special requests, assisting in the development of a marketing strategy for special programs at Lakeshore that fit into the campus mission Understanding college support services, including those provided to special needs students, and developing class usage grids, correcting “To Be Announced” and other room assignments.
