Job Description:

Serving as the Senior Executive Assistant for the President and reporting directly to the Vice President and Chief of Staff in the Office of the President, the Senior Executive Assistant ("Sr. EA") provides effective management and coordination of the Office of the President functions using a combination of project management, communication, research and analysis, and high level administrative and relationship support skills. The Sr. EA has recurring contact with members of the Trustees, senior administrators and executives, public and private officials, the media, students, and parents. This role is an extension of the President's office and must have the highest levels of professionalism and confidentiality, with the ability to demonstrate tact and diplomacy as appropriate. The Sr. EA has the ability to exercise good judgment in a variety of situations and enjoys working in a collaborative team that is mission-driven, results-driven and community oriented. The Sr. EA supervises an Executive Assistant as part of this team. The Sr. EA also works independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Major Areas of Responsibility
  • Coordinate projects and initiatives, research, track and compile information, prepare or assist with agendas, reports, briefings, memos, presentations and analysis.
  • Safeguard the confidentiality of information by exercising discretion in communicating information to faculty, students, staff and other constituents served by the college and in handling administrative records, files, and similar confidential items.
  • Help monitor, oversee and coordinate the flow of incoming and outgoing communications to the President and the Office of the President.
  • Draft and edit various documents including internal/external correspondence.
  • Serve as Assistant Secretary to the Board, assist with Board meeting scheduling and logistics, handle preparation and distribution of Board and committee meeting materials, comply with applicable rules and regulations set in bylaws regarding board and board committee matters.
  • Act as liaison between the Office of the President and internal and external community members.
  • Exercise a high level of professionalism.
  • Recommend and assist in implementing "best practices" for office operations, work and work flow, including technology needs and practices. Evaluate on an ongoing basis.
  • Develop and implement processes for timely, responsive and effective follow up within and among the office, with various internal constituencies, and with key constituencies in the external community.
  • Perform administrative functions that require a thorough knowledge of the college's policies, procedures, and operations.
  • Exercise initiative and independent judgment to ensure the successful operation of the office.
  • Assist with the development, management and related processing/approvals of the budgets under control of the Office of the President. Prepare and maintain budgets in accordance with procedures and uphold accountability for operating within approved budget limits.
  • Facilitate success of events hosted by the Office of the President including leadership team meetings and functions.
  • Supervise the Executive Assistant to the President and create a professional team approach to facilitate successful office operations and coordinate day-to-day schedule and activities of the President.
  • Contribute to the overall success of the College by performing other essential duties and responsibilities as assigned.

Requirements:

  • Bachelor's degree, 5 - 10 years of experience supporting C-suite level executive preferably in higher education
  • Proficiency in Microsoft Office Suite, Google Docs, Sheets and Google Drive
