Summary/Objective

As a member of KSB’s admissions team, the Assistant Director of Admissions participates actively in the recruitment and selection of prospective students across the entire portfolio of graduate business programs, including external representation on behalf of Kogod at recruiting events. In conjunction with the Director, Associate Director, other two Assistant Directors, the position is responsible for all facets of graduate admissions, including applicant advisement and outreach. The position works with graduate assistants and/or work study students to facilitate the completion of on-going special projects. The position is also responsible for day-to-day communication with prospective and admitted students, and participates in admission decisions and scholarship review processes.

Essential Functions

1. Admissions Recruitment Activities:

  • Serves as primary point of contact for prospective graduate students
  • Represents KSB by attending recruiting events, panels and information sessions with prospective students and applicants. Travels on behalf of the Kogod School of Business for recruitment and other enrollment related events, both domestically and internationally.
  • Independently represents KSB graduate programs during the application process with prospective students and external partners, and maintains contact with these groups to establish ongoing relationships.
  • Designs, schedules, and deploys online information sessions via Go2Webinar or similar technology.
  • Manages the MBA Ambassador program, this includes selection, management and supervision of Graduate Assistant responsible for chairing Ambassador Program. Provides quality control assessment of ambassador’s efforts to recruit and yield MBA candidates. This requires that the individual independently assess the Graduate Assistant’s ability to convey information to ambassadors regarding the admissions process, campus tours, faculty course matching, student matching, Career Services, and yield management.


2. Admissions Operations:

  • Counsels and provides guidance for prospective students throughout the application and enrollment processes
  • Designs and implements a communication plan throughout the admissions cycle to Revised Fall 2017 facilitate conversion from applicant to admitted to enrolled student. Develops strategy for campus outreach, partnerships, and recruitment of AU undergraduates
  • Interacts and monitors progress of admitted graduate and undergraduate students to convert them to enrolled students through one-on-one communication, preparation of admitted student materials and correspondence, and conversion events.
  • Manages the planning process and execution of multiple recruitment events, including graduate information sessions, open houses, and campus visits. Oversees planning and budgetary considerations for all events. Serves as contact for external vendors.
  • Responsible for follow up and subsequent tracking and analysis of generated leads through the admissions pipeline to report return on investment of recruitment efforts. Uses this data to contribute to future recruitment and yield event planning.

3. Admissions Activities

  • Serves as a member of the Graduate Admissions Committee, including regular attendance at Committee meetings, reading and review of application, and makes recommendations for admission and scholarship offers. Conducts evaluative interviews for the Full-time MBA program, and as needed for MS programs.


4. Admissions Processing

  • Manages the processing of I-20 documents by serving as the primary liaison with University’s Office of International Student & Scholar Services (ISSS) to facilitate the I-20 and student visa process for enrolling international students.
  • Manages all graduate prospective student inquiries via general email inbox and phone; prioritizes responses as appropriate, serves as primary admissions contact for unscheduled graduate prospect visits to campus
  • Monitors new graduate enrollment deposits; works closely with Graduate Programs advising team to ensure successful transition of deposited graduate applicants to enrolled student status


5. Special Projects and Other Administrative Duties

  • Represents Admissions in cross-functional team projects (e.g. new student orientation, case competition) in the Office of Academic Programs or other areas in the Kogod School of Business as assigned by the Director of Admissions


Supervisory Responsibility
  • The position reports directly to the Director of Admissions along with an Associate Director, two other Assistant Directors of Admissions and a part-time Admissions Coordinator. As needed, the position may also supervise the daily work of assigned student assistants.


Work Environment
  • The position serves as a first point of contact for all prospective and admitted graduate students in the Kogod School of Business.
  • This position shares in the management of an average volume of 1200 applications per year through the full admission cycle, including all formal and informal communications.
  • This position independently manages I-20 and visa process for all incoming international graduate students.
  • Responsibilities include the planning and management of 10-12 recruitment events per cycle, including oversight of relevant budget expenses; participation in recruitment events and travel 4-6 times per season; and assistance as needed with the conversion of up to 200 undergraduates per year.
  • This position requires direct and frequent interaction with key external and internal constituencies including prospective students, alumni, professional associations, business entities, faculty, and university staff.

Required Education and Experience
  • Bachelor’s degree
  • 3-5 years of work experience in admissions, academic advising, sales/customer service, or other relevant transferrable professional experience

  • Technological competency in Microsoft Office, database management, and internet applications
  • Attention to detail and demonstrated ability to establish working relationships with multiple constituencies

  • Familiarity with a university environment including the organizational and administrative functions of a major college and university
