Elon University is currently accepting applications for an Assistant Director of Alumni Engagement – Special Events.  Reporting to the Director of Alumni Engagement, the Assistant Director of Alumni Engagement leads the implementation of Homecoming and other special events and will be a key leader within the Alumni Engagement team. Specifically, he/she will be responsible for various initiatives that foster loyalty, connection and support from alumni. A key focus of this work will be the coordination of Elon's annual Homecoming and Reunion Weekend. In conjunction with the Director of Alumni Engagement, he/she will have full-cycle responsibilities for coordinating this signature program including the development of new and innovative activities to meet the interests and needs of alumni, marketing and communications to drive participation, event management, internal coordination with campus partners and the engagement of alumni throughout the experience.  In addition to homecoming and reunion weekend responsibilities, the Assistant Director will be responsible for the annual Distinguished alumni awards ceremony, Top 10 Under 10 alumni awards ceremony, Legacy family events and Senior week programming.  In partnership with the Director, the Assistant Director will supervise the Coordinator of Student Programs.  Over the last decade, Elon has dedicated resources to build robust alumni and parent engagement and annual fundraising programs, helping to foster engagement and giving participation rates that now keep pace with top national universities. With capacity built and a culture of engagement and philanthropy well-rooted, Elon's Office of Alumni Engagement seeks a teammate to join a diverse and successful team committed to increasing alumni engagement goals to advance Elon's new ten-year strategic plan, Boldly Elon.  Bachelor's degree required from a four-year college or university; Master’s degree is a plus but not required. Elon graduates are strongly encouraged to apply.  This position requires strong project management and organizational skills and the ability to balance multiple priorities. Strong communication and interpersonal skills to coordinate with internal and external constituents. Understanding of emerging social media and communication techniques and the ability to manage communications and editorial calendar. Additionally, the position requires the ability to meet face-to-face with all levels of constituents and respond appropriately to any comments and requests. The position requires the ability to work effectively as a team member, work on multiple projects and collaborate with a diverse set of campus partners. Candidate must possess strong leadership, organization and customer relations skills.  Three to five years professional/internship experience in events, sales, marketing or customer service experience and/or volunteer management preferred; or equivalent combination of education and experience.

Essential Duties and Responsibilities:

  • Oversight of homecoming weekend programs including the planning and coordination of event logistics
  • Assist in the production of event marketing materials and communications; manages timelines and deadlines in coordination with University Communications
  • Provide creativity and strategic thinking to propose new activities to enhance homecoming and take initiative to continuously improve existing programs and processes
  • Manage event registration procedures as it relates to homecoming; provide registrants with necessary information including logistics, way-finding, mobile technologies, stewardship and other engaging materials
  • Coordinate with vendors and provide event set-up for Homecoming event programs including, but not limited to the Rock the Block party, Elon Alumni Award program, All-Alumni Tailgate Village, Brick Run/Walk, etc.
  • Serves as a primary point of contact to various internal and external constituents
  • Assist with preparing briefing materials
  • Responsible for proposing and achieving overall alumni event registration goals
  • In conjunction with the Director, coordinate on-site staffing needs during Homecoming and Reunion Weekend
  • Coordinate with annual giving staff to incorporate class reunion events and giving efforts into homecoming programs
  • Work with the Coordinator of Alumni Engagement to incorporate affinity reunion events and giving efforts into homecoming programs
  • Oversight of Senior Week programming including, but not limited to Senior Picnic, Senior College Coffee, Senior Celebration, etc.
  • Serve as the direct supervisor for the Coordinator of Student Programs
  • Oversight of high profile annual awards programs including the planning, coordination of event logistics
  • Coordinate with the Assistant Director of Alumni Engagement to identify potential award recipients
  • Manage communications with all award recipients
  • Assist in the production of invitations and communications; manage registration lists
  • Serve as on-site event manager for events
  • Assist with goal-setting for alumni engagement and university priorities.
  • Represent the University at various functions on- and off-campus
  • Utilize technology that includes Raisers Edge, Elon's internal database to run queries and exports to identify alumni for engagement, and maintain excellent information within the internal database to improve alumni outreach.
  • Provide exceptional customer service to our alumni acting with the greatest amount of professionalism and expressing the highest sense of urgency.

Position requires the ability to and experience with making presentations to various groups of constituencies. Additionally, the position requires the ability to meet face to face with all levels of constituents and ability to handle constituent complaints.
