About the Opportunity:
The Administrative Coordinator, Kostas Institute Technical Research Team (AC) will provide executive level support to the CTO of Kostas Research Institute and administrative support for the senior research staff. This individual will be responsible for managing the CTO's administrative needs to ensure that his time is effectively allocated and that he has the information/materials needed to advance the priorities of the university programs and assets for which he is responsible. The AC will serve as a project manager for the CTO as assigned. Additionally, the AC will perform diversified independent, administrative, and operational duties supporting the senior research staff in writing proposals and their successful execution of research contracts.

This position requires strong organizational skills, with the ability to manage/prioritize multiple projects, and have excellent interpersonal communication skills to interact successfully with high-level visitors both internal and external to the university. This individual must be self-motivated, able to prioritize and manage workload independently, possess good time management skills, be proficient in Microsoft Office and have the ability to learn new software as needed. He/she must have the ability to work with confidential information using good judgment and discretion at all times.

Responsibilities:
  • Manage CTO calendar and coordinate high-level meetings.
  • Prepare agendas and meeting notes in a timely manner to ensure CTO is well-prepared for all meetings, events, and speaking engagements.
  • Provide project management and administrative support as appropriate and maintain organized tracking and database systems.
  • Assist with travel planning as requested and complete expense reporting in accordance with university protocols.
  • Work with Senior Research Staff to create and maintain tracking system for equipment and lab purchases and serve as key contact for vendors and Director of Finance and her staff in following up on purchases.
  • Assist with collection of content and writing non-technical sections of grant proposals and white papers.
  • Work with CTO & Sr. Research Staff for planning, scheduling, and successful execution of meetings, workshops, and technical seminars
    • Coordinate and arrange for all logistics and site support needs.
    • Maintain attendee lists, confirming in-person or remote engagement, and collect all presentation materials in an appropriate way for the distribution constraints.
    • Work with security office as required to solicit and provide necessary information and comply with appropriate protocols.


Qualifications:
  • Eligible for National Security clearance.
  • Bachelor's degree.
  • 3-5 years of successful high-level support and program/project management support.
  • Strong organizational skills with excellent time management.
  • Sound judgement for prioritization of multiple tasks
  • Excellent verbal and written communication skills with a customer (internal and external) service focus.
  • Highly organized and detail oriented; and ability to problem solve effectively.
  • Strong computer and IT skills, especially in MS Office suite products, and ability to learn new programs/systems with ease.



Preferred Qualifications:

  • Familiarity with research environment and research funding.
  • Familiarity with DoD structures and protocols.
