Job Description

EdPlus at ASU is currently seeking a motivated and professional Executive Assistant, EdPlus to join our high-performing team. Under general direction and reporting to the Executive Assistant to the Dean, the position provides a wide range of support, coordination, and liaison functions to members of the EdPlus leadership team. The successful candidate must be able to coordinate multiple tasks simultaneously and perform complex administrative duties of a responsible, sensitive, and confidential nature in an incredibly fast-paced environment.

 

EdPlus is a unit of the ASU Enterprise focused on the design and scalable delivery of digital teaching and learning models to increase student success and reduce barriers to achievement in higher education. Essential Duties

  •  Manages EdPlus executives’ calendars and high-priority activities to maximize efficiency, coordination, and follow through. 
  • Coordinates the executives’ involvement in university events to ensure effective interaction with University staff, senior executives, leadership teams, and their constituents both internal and external to Arizona State University.
  • Provides administrative support to executives; coordinates and arranges travel (domestic and international) including transportation, accommodations, and travel reimbursements; compiles, prepares, and maintains background material related to meetings, events, and travel; coordinates and tracks follow-up; maintains files.
  • Serves as back-up support to the Executive Assistant to the Dean and other Dean’s Office administration staff, as needed. Duties to include, but not limited to making adjustments to the Dean’s calendar, assisting with domestic and international travel, providing the Dean with materials required for meetings.
  • Provides administrative support to various units within EdPlus including purchasing, expense tracking, and assistance with travel and meetings.
  • Independently composes correspondence on a variety of subjects requiring judgment, originality and knowledge of issues involved.
  • Represents EdPlus within the university and with external communities, promoting positive working relationships.
  • Coordinates or assists in coordinating events, including arranging equipment, and catering, sending invitations, and managing RSVPs.
  • Assumes or coordinates other duties or projects as assigned or directed.

 

Minimum Qualifications

Bachelors degree in Business or field pertinent to work unit AND four (4) years of directly related administrative experience; OR, Eight (8) years of directly related administrative experience: OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

 

Desired Qualifications

  • Evidence of a Bachelor’s degree or related field preferred
  • 5+ years of experience supporting C-suite level executives
  • Experience in working in a fast-paced environment with continuously shifting priorities
  • Ability to coordinate and prioritize work and activities, and to organize and utilize resources
  • Ability to become proficient in internal ASU systems and platforms (i.e., Concur, Workday, Peoplesoft, etc.)
  • Ability to analyze and comprehend complex issues and to make decisions and judgments, especially when sensitive or confidential
  • Evidence of a genuine interest in the work and mission at EdPlus and the university
  • Ability to establish and maintain effective working relationships and to collaborate with stakeholders across diverse units, levels, and interest areas
  • Evidence of effective verbal and written communication skills 
  • Experience with all aspects of domestic and/or international travel and reconciliation
  • Ability to maintain a flexible schedule
  • Ability to work independently as well as working in a team environment

 

Working Environment

EdPlus at ASU is located at SkySong, the ASU Scottsdale Innovation Center. The center houses a diverse business community that links technology, research, education and entrepreneurship to position ASU and Greater Phoenix as global leaders in the knowledge economy.

 

Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting or standing. Daily use of desktop or laptop computer is required. Ability to clearly communicate to perform essential duties. Regular review of completed tasks.
