Job Description:

Under the supervision of the Director of Operations, the Enrollment Representative - Floater is responsible for wide range of customer service and administrative support tasks in the Admission department.  Primary focus is one of four categories (Reception area, Inquiries, Credentials, and Applications) and is cross-trained to back up all responsibilities.  Also assists with special events and projects.

This is a part-time, 10 month position. 

Essential Functions:

1. Assist with Front Desk and Telephone Coverage as follows:

  • Assist with answering all incoming telephone calls to the office, answering questions and responding to concerns received from Curry Community, prospective students, parents, or school counselors, and directing calls to appropriate staff members.  Forward appropriate telephone calls to Admission Staff and Counselors or other members of the Community as needed;
  • Assist with responding to any information requests received via the Admission Voice Mail and Email Account;
  • Assist with managing appointments for prospective students and their families using an automated Salesforce CRM system as well as coordinating this schedule with personal interviews, tours and the office travel schedule that is made available.  Accommodate all visitors who arrive to the Admission Office without a scheduled appointment;
  • Assist with manual and electronic entry of new inquiries resulting from electronic uploads, telephone calls and/or emails generated from main Admission accounts;
  • Check status of applications and communicates status to prospective students and parents;
  • Provide high-quality customer service and serve as Admission Office host to all prospective and current students, Alumni, parents, faculty, college staff, and others at the main reception desk and on the telephone in the Admission Office.  Includes serving as primary greeter to all visitors to the Admission Office and ability to respond to questions or issues knowledgeably and in a supportive and timely manner;
  • Assist all Enrollment Representatives with answering telephone inquiries regarding status checks.

2. Assist with processing of credentials received by mail or electronically:

  • Assist with matching credentials to the correct application or inquiry record in Salesforce CRM including scanning, electronic upload and/or data entry of credentials (high school and college transcripts, SAT or ACT test scores, recommendations, application fee and fee waivers, and resumes) as well as those received either by mail, email, fax or other electronic services;
  • Assist with Daily electronic upload via the Common Application and verifying and updating data to Salesforce CRM inquiry or applicant record;
  • Open, date stamp and process items received via the USPS - scan and update electronic record;
  • Assist with associating and processing emails for credentials received via @admm mailbox, Admission and school counselors;
  • Associate and process faxes related to credentials;
  • Communicate with High School Guidance Offices for clarification of documents when needed;
  • Assist in data management to maintain accuracy and updates (addresses, school information, etc.) associate with Salesforce CRM;
  • Assist with processing and entering data received via Personal Interviews & Information Sessions;
  • Assist with preparation and printing of letters, envelopes and labels for designated mailings to students regarding the application and enrollment process, upcoming events, and follow-up letters for missing information;

3. Assist with processing and entering data in Salesforce CRM for prospective students as follows:

  • Assist with manual and automated data entry of 20,000+ inquiries received via recruitment efforts including college fairs, high school visits, electronic load processes;
  • Assists with computer system upgrades on automated systems;
  • Assist with generating letters/labels via Salesforce CRM system in response to ongoing projects and as assigned by Supervisor;
  • Assist with maintaining returned mail including updating addresses and resending appropriate materials;
  • Process "Cancel" requests to cancel an applicant's file in Salesforce CRM and Banner SIS; make recommendations and work with the Director of Operations and the Tech Center on new tracking codes when appropriate;
  • Assist with removal of duplicate records in Salesforce CRM and using Demand Tools software;
  • Assist with preparation and printing of letters, envelopes and labels for designated mailings to students regarding the application and enrollment process, upcoming events, and follow-up letters for missing information;
  • Assist with mailings to high schools, school counselors or designated groups in response to requests for Admission materials.

4. Assist with processing of Applications for prospective students as follows:

  • Assist with processing 8,000+ online applications including downloading, updating Salesforce CRM, and verifying information.  Generates reports to monitor and assist process;
  • Assist with generating and mailing of "Checklist Letters" that go out to all applicants to inform them of missing items needed for application review;
  • Assist with verifying and/or entry of data received from Flywire eStore.

Additional Functions:

  • Mandatory participation in the preparation for and actual work performed at Admission Office and College-wide events including but not limited to Open House programs, Accepted Student Day, Orientation, Commencement and Athletic events organized by the Admission Office and other College departments including weekend events;
  • Perform other duties as requested or directed including administrative tasks such as filing, photocopying, and monitoring of office supplies;
  • Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy;
  • Perform other duties as assigned by supervisor of his/her designee. 

 

Requirements:

Minimum Qualifications:

  • High School Diploma required. At least two years of office administrative experience.
  • Intermediate word processing, database management and spreadsheet experience. (MS Office required, Salesforce CRM, Banner a plus).
  • Strong interpersonal communication and ability to work with individuals from a variety of backgrounds.
  • Occasional overtime is required to complete job assignments and meet deadlines during peak season.
  • Excellent customer service skills. Ability to use multi-line phone.
  • Perform data entry with excellent accuracy and speed.
  • Ability to multi-task in a high-volume, fast-paced environment.
  • Solid organization skills and attention to detail. Ability to problem solve and prioritize tasks in a fast-paced environment. Flexibility a must.
  • Ability to handle confidential information.
  • Proven success in team efforts.

Preferred Qualifications:

  • Associates Degree preferred.
  • Banner experience a plus.
  • Previous employment in an Educational institution.
  • Previous experience with student workers.
