Position Information

This is a full-time, permanent (probationary) position.

Conditions of Employment

Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

The salary range for this classification is: minimum $2,912 - maximum $3,829 monthly.

Major Duties

Under general supervision, the Registration Associate is responsible for all front line customer service for the College of Extended & International Education. Incumbent must possess ability to work in a fast-paced work environment and provide excellent student customer support. The incumbent will provide staffing for the main College office which is open 62.5 hours per week; provide direct service for all walk-in students and provide the answering service for the College main phone number. The incumbent will process all College registrations; provide the initial response to all student inquiries, set up payment installments, assist in third party/sponsored registration/payment process, and drop/refund/balance questions, maintain all student related College databases and other duties as assigned.

Qualifications

Required Education: Completion of a high school program or its equivalent.

Required Experience: Some experience in an office environment, equivalent to two years.

Required Knowledge, Skills, and Abilities:

  • Thorough knowledge of office methods, procedures and practices.
  • General working knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, spelling, and punctuation.
  • Typing and keyboard skills. Thorough knowledge in using standard office equipment.
  • Fluency in using standard word processing and related computer software packages.
  • Ability to learn office technology systems.
  • Ability to identify and solve standard problems and refer more complex problems to appropriate staff.
  • Ability to perform standard arithmetic functions.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Ability to learn, interpret independently and apply a variety of complex policies and procedures.

    Certification: Valid Drivers License

    Responsibilities

    30% - Process all registrations including Open University, intersessions and special sessions, credit and noncredit extension courses and certificates, contract courses, workshops, international trainees, OSHA, OLLI, ALCP, HUX and MSQA. Includes entering the registration, accepting payment, preparing registration and payment confirmations, providing Blackboard instructions and the student ID card. The College processes approximately 3000 registrations per month.

    30% - Assist with maintaining third party sponsored registration and payment process and vendor databases. Set-up payment installments as students register with pay plan options, assist students with drop/refund questions and assist in identifying balance discrepancies.

    30% - Respond to student inquiries and answer front-line customer service inquiries—in-person, telephone, email and traditional mail. Mail information requested, e.g., bulletins, brochures, etc. and maintain the inquiry data. Process student requests for drops and withdrawals; prepare documents for processing student installment payment plans.

    10% - Provide general support for Extended Education Registration & Student Services, attend College meetings, and other related duties as assigned.
