Position Summary
The Classified Payroll Administrator is part of team designed to support University Housing's Payroll/HR department in their effort to provide exceptional customer service and ensure that an accurate and compliant payroll is processed.

The Classified Payroll Administrator is responsible for the entire operation of classified payroll in a large unit with over 300 classified employees. This is a large, complex payroll with levels of nuanced guidelines and policies to follow. The person in this position works independently and must be knowledgeable and able to interpret applicable laws, rules, and policies, including SEIU Collective Bargaining Agreement, BOLI, UO Policies and practices, and international visa regulations, as needed to maintain compliance.

Extensive knowledge of personnel policies and procedures relating to payroll, and excellent communication skills in order to communicate these policies/procedures to a diverse campus population, are required to be successful in this position.

The position's responsibilities require independent and creative problem solving, team building, and collaborative service to the many Housing operations managers and staff. This position contributes to the program direction by providing solutions and creating efficiencies in procedures.

This position works collaboratively with the Student Payroll Coordinator and as a team they are the liaison and communication between Housing's payroll office and UO Central Payroll. This position cross-trains and covers for absences for the Student Payroll Coordinator.

An essential duty of this position is to maintain and manage Kronos/UKG, University Housing's time and attendance software system, ensuring employee records and collected time are correct to produce an accurate and timely payroll. This position is the subject matter expert as well as the housing administrator for the Kronos/UKG system. The Classified Payroll Administrator also ensures all managers and staff are trained on using Kronos. The position is responsible for providing effective and efficient new employee orientation and onboarding services for new hires including Kronos/UKG training. This position prepares a variety of reports, spreadsheets, presentations, and policies and procedure documents to share with managers and staff for information and training purposes.

The Classified Payroll Administrator reports to University Housing's Sr. HR Generalist. The position also assists the Associate Director for Human Resources in confidential personnel issues and is expected to maintain strict confidentiality at all times. The position may lead and coordinate the work of student employees during busy work seasons when needed.

This is a full-time, 12-month position that may require occasional overtime during critical monthly payroll deadlines.

Note: this position is based in Eugene, but occasional remote working arrangements may be considered.

Minimum Requirements
  • Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR
  • An equivalent combination of training and experience.

    One year of postsecondary education may be substituted for up to one year of the experience.

    Preferred Qualifications
  • Two years' payroll experience in a large complex organization.
  • Experience managing a payroll consisting of employee groups with differing guidelines, policies and/or bargaining agreements.
  • Two years' experience maintaining and working within a complex database system; analyzing data and creating reports, preferably within a time and attendance system. Experience must have been within the past five (5) years.
  • Experience working with Kronos/UKG or an equivalent timekeeping system
  • Demonstrated working knowledge of Windows-based applications; Microsoft Word, Excel, Outlook, PowerPoint.
