About the Opportunity:
The Administrative Assistant for the University Scholars is responsible for planning, coordinating, and managing all administrative operations for the University Scholars and Office of Undergraduate Research and Fellowships and providing support for the Director, Associate Directors, and Faculty Fellows, as necessary.

Responsibilities:
These duties will include management of the office telephone, scheduling and calendar management, departmental expenses, travel arrangements, data entry, and gathering and distribution of meeting minutes and following up on tasks. The AA will serve as first contact for internal & external constituents. They will also research and respond to customer inquiries and recommend solutions to resolve problems. In line with this, the AA will assist with the creation and revision of external communications (newsletters, handouts), as well as in routine maintenance of the departmental websites. In addition, the AA will assist in the planning, coordination & implementation of program activities or special events within the department, e.g. organizing catering, audio/visual, signage, room set-ups, supplies, invoicing and other site needs as part of space reservation process. Contact with students may be in person, by phone, or by email. The normal working hours for this position are 8:30 am to 5 pm. However, there will be evening and weekend events. Other duties as assigned by the director.

Qualifications:
At least two years of college coursework required; Bachelor's degree preferred. Proficiency in Microsoft Office, website management, and general computer skills. Excellent organizational, interpersonal, and writing skills. Close attention to detail is essential. Good time management and the ability to meet deadlines, in a busy office environment. The ideal candidate will have one to three years of relevant experience, with work in a university setting a particular advantage. The ability to relate and be sensitive to diverse cultural backgrounds is imperative.
