General summary/purpose:

Under the supervision of the Associate Director, Registration Operations, the Registration Administrator will be a key member of the team responsible for overseeing and managing enrollment related activities, a vital part of student registration at Johns Hopkins University. They will execute routine registration transactions respond to student inquiries as a member of the Student Enrollment and Account Management (SEAM) organization for registration. They will work to achieve goals of the department by ensuring that registration records are managed in an efficient, accurate, and compliant manner.

Specific duties & responsibilities:

Student Enrollment

  • Maintain student registration records and complete registration processes for all graduate and undergraduate students.
  • Resolve any registration related barriers such as holds with the appropriate cross functional team.
  • Process interdepartmental and special enrollments for all graduate and undergraduate students.
  • Resolve any transfer credit issues with various divisions to process registration.
  • Assist with waitlist and monitor seats for the high demand courses across all divisions.
  • Maintain the integrity of student registration record in SIS.
  • Holistically work with other registration administrators to improve enrollment processes.
  • Escalate unresolved issues to appropriate stakeholders.

Student Identity Management:

  • Validate the documents and process all student requests related to identity management such as biographical information and name change.
  • Follow FERPA guidelines to protect personally identifiable information (PII). Support the team in implementing OnBase solutions and help manage document types.
  • Execute routine records-related workflow processes and transactions occurring in tools such as OnBase.

Other

This position offers the option to work remotely on occasion, but candidate must have the ability to participate in meetings, receive and make phone calls, conduct on campus workshops, provide in person and virtual support to the JHU student one-stop centers, and attend in person training and conferences as needed.

Minimum qualifications (mandatory):

  • High School Diploma/GED required.
  • Five (5) years of related experience required.

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred qualifications:

  • Bachelor’s degree or equivalent
  • Familiarity with higher education or Customer Relationship Management (CRM) technology

Special knowledge, skills, and abilities:

  • Position requires excellent work habits and office skills.
  • Position requires the ability to be accountable for all work, independently set priorities, think critically, and successfully communicate in both oral and written formats.
  • Must demonstrate initiative, creativity and resourcefulness.
  • Ability to analyze and resolve issues, including student data issues.
  • Ability to collaborate on innovative solutions, and implementation of these solutions.
  • Technical qualifications or specialized certifications:
  • Some functional experience with Student Information Systems and Microsoft Office Suite of programs (Word, Excel, SharePoint, etc.) is strongly preferred.
  • Functional experience with OnBase or other document imaging software is strongly preferred.
  • Knowledge of FERPA (Family Educational Rights and Privacy Act), and all laws, rules and regulations related to JHU policies is desired.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
