Job Summary

We are encouraging applications for a Post Award Specialist who will work within the INSTAAR sponsored project administration team and provide support and assistance to Principal Investigators (PIs) and research teams. With guidance from the Finance and Accounting Program Manager, they perform functions necessary to research administration for individual PIs and INSTAAR as a Research Institute.

Who We Are

As the University’s oldest institute, lNSTAAR (Institute of Arctic & Alpine Research) has a long history of responding to pressing environmental issues. Our traditional focus has been on polar and alpine regions, where the effects of global change are especially pronounced. In recent decades, our research has broadened to include environmental challenges that span local, regional, and global scales. Research topics vary widely and include Quaternary and modern environments, human and ecosystem ecology, biogeochemistry, landscape evolution, hydrology, oceanography, and climate.

INSTAAR’s research activities integrate field studies, state-of-the-art laboratory experiments, sample analysis, and numerical and laboratory modeling. Our field sites are located across all seven continents and the world’s oceans. Our expertise across fields helps us generate influential science that can inform public and policy decisions and move us toward a more sustainable society. INSTAAR’s national and international research leadership is augmented by exceptional strength in graduate education and bringing undergraduates into the research process.

What Your Key Responsibilities Will Be

  • Advise PIs, research staff, and students on sponsored project procedures and regulations, including sponsor requirements, Uniform Guidance, and the State of Colorado, CU, and INSTAAR rules.
  • Provide support to PIs and collaborators regarding financial questions. Prepare financial and salary projections for PIs. Track project start and end dates to plan spending and extension requests when necessary.
  • Monitor implementation of subcontracts, including budget verification, processing of subcontract invoices, marked up POs, etc.
  • Track expenses for assigned projects including personnel costs, materials and supplies, travel, equipment, and other items as indicated. Approve and allocate purchases made by research staff. Monitor Travel Authorizations, provide information about CU travel rules and prepare Expense Reports for group members as requested. Prepare cost transfers when appropriate.
  • Manage equipment purchases, fabrications, and transfers for capital equipment on sponsored projects.
  • Advise Payroll Liaison on personnel working on grants: hires, changes and terminations. Update funding for grant personnel. Oversee scope of work and honorarium payments for non-employees working on grants.
  • Work with INSTAAR administration, SPA, and OCG to investigate and resolve various sponsored project issues and perform special tasks as assigned.
  • Oversee auxiliary lab expenses and revenue. Advise lab staff on CU Internal and External Sales rules. Track receivables for labs.
  • Network and collaborate with other CU offices such as SPA, OCG, PSC. Attend training and updates when appropriate.

This opportunity is anticipated to support a hybrid format (remote and in-person support).

What We Can Offer

The hiring range is $48,000.00- $55,000.00.

What We Require

  • A bachelor’s degree or equivalent combination of education and experience may substitute.
  • At least 1+ years of professional, job-related experience.

What We Would Like You To Have

  • Three years of sponsored project administration experience including experience with PeopleSoft, Cognos, and other University systems.
  • Minimum of one year of sponsored project (post-award) administration or accounting experience in a university or other highly complex business setting.
