The Database Coordinator provides support to the Office of Technology Commercialization/Rowan Innovation (OTC/RI) Director, IP/Licensing/Contracts Manager, and Rowan University (RU) Faculty, staff and students in order to promote the transfer and commercialization of RU inventions and the education of RU inventors and students in the commercialization process. This position coordinates OTC/RI activities, including, but not limited to, database management, report preparation, web site support, patent file administration, management of training and educational events, and other office administration activities.

Responsibilities:

  • Manage and maintain RU intellectual property portfolio database (Inteum) and filing system for patent cases and commercialization activities
  • Maintain scheduled reporting to government agencies
  • Liaise with external commercialization assistance companies on invention marketing activities
  • Coordinate with patent attorney firms in regards to patent related billing matters
  • Ensure that periodic, scheduled patent maintenance fees and royalty payments are received and processed in a timely manner
  • Prepare vendor invoices for payment and requests checks for revenue distributions to inventors and reconcile income account to database records
  • Compile statistics and prepare reports and spreadsheets as requested
  • Serve as primary contact for OTC/RI department website and related comments, questions, and requests and assist in keeping website updated
  • Coordinate logistical arrangements for meetings, conferences, and workshops and potentially work after hours with travel to attend an event
  • Create and maintain departmental standard operating procedures
  • Create and maintain departmental mailing lists
  • Track and maintain financial information and expenditures to budget.
  • Inform supervisors and others about the status of the budget.
  • Perform administrative support responsibilities for the OTC/RI department
  • Make travel arrangements for administrators and/or faculty
  • Monitor and processes travel expenses
  • Perform other duties as assigned


Qualifications:

  • Bachelor’s degree required; Graduate degree preferred
  • Experience using Inteum database systems required
  • Minimum two (2) years’ experience in higher education working with technology commercialization office
  • Strong organizational skills and project management experience
  • Customer service and administrative experience
  • Ability to work effectively in a team-based environment
  • Strong understanding of Microsoft Office programs
