SUMMARY OF RESPONSIBILITIES

The Financial Services Clerk functions as clerk and cashier in a fast-paced environment.  Assists in various office projects where needed in order to support the Financial Services Office.  Responsible for the accurate collection and disbursement of cash transactions at the front counter.  Responsible for the safeguarding and safekeeping of cash and end of day cash reconciliation at close of business. Serves as a receptionist and clerical assistant.

ESSENTIAL FUNCTIONS

  • Serve Cashier functions and greet guests, students, employees, alumni, board members, etc. in a professional and informative manner.
  • Performs daily cash settlement. At the end of each day, reconcile cash box, add tapes on receipts, checks and count cash.
  • Discuss all aspects of student accounts with the customer.
  • Assist Accounts Receivable with student accounts as required, including the setting up of student payment plans.
  • Update list of past due accounts on a weekly basis.
  • Initiate phone calls, e-mails, and letters for the purpose of collection on student accounts.
  • Provide back-up for Counselor I position.
  • Assist in sorting, separating and preparing mailout information.
  • Receive and track student financial aid checks and disbursements such as student loans and outside scholarships.
  • Open and distribute incoming mail for Financial Services when needed.
  • Assist Financial Services staff in various projects including the annual financial audit.
  • Process transcript approvals on a daily basis, as needed.
  • Learn and understand federal, state, and institutional financial aid in order to counsel students on the best options.
  • Assist with all student orientations including answering financial aid and student account questions; may require occasional evening & weekend hours for Schreiner Saturdays and FAFSA Nights.
  • Maintain University office safety rules.
  • Confidentiality – Maintain the highest level of confidence concerning all matters in the Financial Services office; does not discuss in any manner any information obtained through work in the office.
  • Other duties as assigned.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED

  • High School graduate or equivalent (minimum Associates Degree preferred)
  • Two years general office experience.
  • One year cashier experience with preference given to those with direct customer contact.
  • Microsoft Applications experience.
  • Basic understanding of accounting fundamentals.
  • Strong organizational skills and ability to perform several tasks concurrently.
  • Strong customer relations, communication and interpersonal skills.
  • Familiarity and experience with general office equipment.
  • Ability to work occasional overtime hours during orientations.
