Jhpiego is an international non-profit health organization affiliated with the Johns Hopkins University. For more than 45 years, Jhpiego has worked inpartnership with national governments, health experts and local communities to build health providers’ skills and develops systems that save lives now and guarantee healthier futures for women and their families.
The Program Administrator will support the needs, coordinate requests and provide management and administrative support to ensure smooth operations, effectiveness and efficient management of the Technical Leadership & Innovations Office (TLI). S(he) will support management functions for the office, including budgeting and financial analyses, staff effort tracking, strategic planning and progress reporting, procurement and contracting, supporting management of Jhpiego’s innovation fund, leading Jhpiego’s logistics and presence at global conference and events, supporting knowledge management, and other administrative functions across the department or for sponsored projects.
Specific duties & responsibilities:
- Contributes to the establishment of processes and tools for efficient management of the department and provides general administrative support including copy-editing, drafting and formatting presentations and documents, coordinating meetings, drafting agendas, taking notes and managing meeting follow up action items.
- Works with technical teams to develop budgets, assists with developing activity plans, tracks and monitors progress towards completing workplan activities. Reviews and analyses financial reports to track the status of spending.
- Participates in the development and on-going maintenance of systems to track and monitor staff level of effort and short-term technical assistance allocations.
- Provides coordination and management support for Jhpiego’s innovation fund, including supporting tracking and coordinating review of submissions, managing communications, and tracking status of implementation and spending.
- Leads management support for Jhpiego’s participation in global conferences. Assists with management of abstract review processes, logistics management, identifies and manages vendor relationships, supports development of conference presence plan and strategy, assists with presentations, and other materials for departmental meetings. Ensures conferences are well-planned and follow TLI’s established procedures before, during and after the event.
- Contribute to the establishment of processes and practices for capture and organization of knowledge, tools and products within and beyond TLI. Supports management of departmental knowledge management activities, including by participating in the design and on-going maintenance of technical content on Jhpiego’s intranet and coordinates with technical teams to ensure content on the external website is up to date. Participates in writing content, designing and formatting pages and ensuring staff readily use the site to facilitate information and knowledge sharing. Contribute to ongoing work as needed in the establishment of processes to better share and disseminate technical information.
- Stays abreast of relevant organizational deadlines for routine reporting and other organizational deliverables. Assists in the compilation and monitoring of strategic plans and other related documents and materials. Coordinates with technical units or supervisors to collect inputs from across department and finalize TLI documents/reports for submission.
- Ensures smooth functioning of TLI-hosted seminars and webinars by coordinating participation, documenting and reporting out on activities. Supports coordination and planning for TLI-hosted virtual, live or blended meetings and documents and shares processes and recommended best practices.
Minimum qualifications (mandatory):
- Bachelor’s Degree required in relevant field.
- 2+ years of high-level project/administrative experience in international development or health required.
- Excellent MS Excel skills
- Excellent verbal, written, and presentation skills
- Results oriented and strong decision-making skills
- Knowledge of the international program development
- Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform
- Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups in developing country environments
- Experience in the development of strategic and tactical plans in cooperation with others who represent a wide range of interests and needs
- Strong coordination skills
- Ability to travel independently in new environments
- Ability to independently manage routine responsibilities
- Ability to analyze content and assemble it into written reports or presentations
- Excellent organizational and documentation skills required.
- Demonstrated program development skills in one or more Jhpiego technical areas

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.
The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
