Job Description:

Summary: The Executive Assistant position is a full-time non-exempt career service position. The Executive Assistant will provide a wide latitude of administrative and office assistance in the management of the President’s Office. Requires considerable exercising of judgment, problem solving, and discretion concerning highly confidential matters.

Duties and Responsibilities:

Exercise judgment and discretion in the handling of confidential information; arrange and schedule appointments and meetings with staff, and/or internal and external customers; serve as liaison with College personnel to communicate directives or to provide information; assist in the development of the departmental budget and monitor expenditures of departments within the division; assist with preparing meeting agendas and meeting materials; record minutes of meetings; provide assistance to departmental and College staff; and establish and maintain office files, correspondence, reports, and related materials required for efficient operation of the President’s office. This position may require availability to work flexible hours, including some evenings and weekends to assist with special meetings or projects. This position reports to the Executive Assistant to the President.

MINIMUM QUALIFICATIONS: Graduation from an accredited institution with an associate’s degree and three years responsible secretarial experience, and demonstrated computer skills, including proficiency with Microsoft Office Suite (including Word, Excel, Publisher, Outlook, etc.) in a networked office setting, and internet navigation. Relevant work experience may substitute for the education requirement on a year for year basis. Successful results of a criminal background check are required.

Pursuant to College policy, it is an employment eligibility requirement for an applicant to meet the requirements of § 435.04(2), Florida Statutes, related to background investigations. Any person failing to meet the requirements of the statute will be deemed not qualified to hold employment in this position. A Florida Department of Law Enforcement (FDLE) approved background check will be conducted on every successful candidate as a condition of employment, and any person who fails to disclose any adverse information contained in the background investigation at the time of submitting the employment application will be disqualified from employment.

PREFERRED QUALIFICATIONS: Prefer documented excellent telephone and customer service experience; documented strong organizational skills; experience establishing and maintaining positive working relationships, and efficiently handling multiple priority projects, and documented experience handling and maintaining confidential information.

SALARY: $29,406.00 (15.08/hour)
