The Center for Diversity and Inclusion at Xavier University seeks a student-centered, highly motivated and equity-minded professional to provide administrative and programmatic support to the Director and staff. The Administrative Assistant serves as office manager, providing day-to-day support for budget management, procurement, scheduling, and front desk operations. This person will provide customer support and serve as a representative of the Center for Diversity Inclusion, the Office of Institutional Diversity and Inclusion, and Xavier University.

The Administrative Assistant will also provide developmental and programmatic support by leading heritage and awareness month programming and providing secondary support to student organizations affiliated with the center.

This position requires a keen ability to listen, support and relate to diverse populations. It also requires effective attention to detail, problem-solving abilities, empathy for others, and a willingness to work together toward the mission of the CDI and the university. The position also requires effective communication skills that support critical collaborations with faculty, staff and community partners to manage and advocate for students' needs and concerns. The successful candidate will demonstrate effective time management, resourcefulness, strategic planning, and be able to anticipate needs of the director. Experience creating and implementing culturally-affirming programming and managing social media is desired.

Essential Duties and Responsibilities

The following list of duties is meant to be representative of the work performed in this position. The omission of a specific duty or responsibility here will not preclude it from the position.

  • Provide Administrative Support to the Director including organizing and coordinating meetings, calendars and travel arrangements, as needed; provide general support to multiple staff members.
  • Prepare all budget related documents and monitor all relevant funds and orgs associated with the Center.
  • Maintain and reconcile budget expenditures for the Center with specific oversight of the Director and Administrative Assistant II P-cards and specific support to the Advocacy and Smooth Transitions Coordinators.
  • Manage departmental procurement, contract negotiation, and space reservations.
  • Manage departmental office records, email, calendars and staff meeting agendas.
  • Coordinate and manage passive and signature programming for heritage and awareness campaigns including, Latinx/Hispanic Heritage Month, LGBTQ+ History Month, Native American Heritage Month, Black History Month, Women’s History Month, and Asian American Pacific Islander Heritage Month.
  • Support and attend departmental programming, including Smooth Transitions, LGBTQ+ Alliance Drag Show, student organization galas, and other signature student organization related programming as needed.
  • Promote and serve as a representative of the Center for Diversity and Inclusion, the Office of Institutional Diversity and Inclusion, and Xavier University.
  • Serve as a diversity and inclusion champion and department representative.


Qualifications

  • College experience preferred.
  • Experience working with diverse student populations preferred; relevant experience in higher education strongly preferred.
  • Demonstrated ability to manage budgetary documents and processes using Banner and Microsoft excel.
  • Adept in written and verbal communication; strategic planning and ability to anticipate the needs of others.
  • Ability to work flexible hours required to supervise and facilitate evening and weekend programs and events.
  • Excellent interpersonal, organizational, and intercultural communication skills.
  • Fluency in Spanish is desired.
  • An understanding of issues facing contemporary higher education and capacity to engage the culture of a Jesuit Catholic university.
