The Office of Housing and Residence Life at the University of North Carolina at Wilmington houses over 5000 students in a combination of residence halls, suites, and apartments. Brief Summary of Work for this Position

The Assignments Coordinator works closely with the Assistant Director of Technology, Residence Life staff, and campus constituents to manage the university’s housing inventory totaling more than 5000 bed spaces.
Key responsibilities include:
  • Responsible for all aspects of a complex Housing Assignments process, aligning with the university’s enrollment growth and strategic planning
  • Overseeing and managing the on-campus housing assignment process that encompasses over six various types of student housing applications via Mercury, HRL’s housing management system
  • Various types of students include but are not limited to first-time freshmen, transfer students, returning students, athletes, LLCs, our Greek population, and international students
  • This position has specialized knowledge of the Housing management software including student applications, payments, assignments and billing, and trains new staff on effective use of this software
  • Collaborates with the Assistant Director to administer three major room selection processes per academic cycle
  • Oversees the daily management of on-campus housing assignment processes including residence hall assignments, room selection processes, room changes, space management, the revenue financial feed for billing, withdrawals etc.
  • Researches and responds to inquiries from students, parents, and campus partners in order to provided or clarify information on departmental services, options, programs, policies, or procedures
  • Coordinates with various departments to assign special populations such as Honors housing, Living Learning Communities, students with ADA needs, International Students and Athletics
  • Participate in long- and short-range planning processes with the Assistant Director of Technology, Associate Director of Business Services, and Director of Housing and Residence Life
  • Responsible for representing the department at campus partner meetings and maintaining close working relationships with partners across all Divisions. Work also includes providing marketing ideas and strategies to increase revenue and maintain necessary occupancy in accordance with our Private Public Partnership
  • Supervises the Front Desk Receptionist and is responsible for oversight of the front desk operations including 8 – 10 student workers for the HRL central office
  • Utilizes various software systems such as Mercury, the housing management system, Microsoft Excel, Access, Word, Outlook, and university-specific software daily in order to successfully and efficiently complete job activities

    Minimum Education and Experience Requirements

    Graduation from a four-year college or university and one year of experience related to the area of assignment; or an equivalent combination of training and experience

    Preferred education, professional skills and experience

  • Experience with a housing management system such as Mercury, StarRez, The Housing Director, etc.
  • Knowledge of standard operating procedures for assignments and occupancy management
  • Excellent verbal and written communication skills, including interpersonal communication skills and public speaking skills
  • Excellent customer services skills and ability to manage student and professional staff
  • Ability to respond to multiple requests in a fast-paced environment and independent problem solving
  • Ability to take initiative and work independently within specified time constraints while demonstrating sound judgment and decision-making skills
  • Experience working with diverse and special populations for assignment related purposes
    Proficiency with Microsoft Office Suite
