Provides administrative support to Environmental Health and Safety Services Department and Facilities Services Safety Manager. Coordinates office needs, supports data entry and records management, assists with procurement and budgeting, coordinates meetings, and offers general administrative support to the department. Qualifications
Associates degree preferred and 2-3 years’ experience in an office environment setting, or equivalent combination of education and experience. Strong knowledge of Microsoft Office applications and cloud-based programs. Job Specific Qualifications
  • Strong attention to detail and understanding of proper office/administrative practices.
  • Familiarity with University’s software systems including general ledger, Epro, etc., preferred.
  • Ability to work independently and as a team.
  • Strong technical / data entry skills.
  • Willingness to work collaboratively in support of all departmental areas and safety programs.
  • Able to multi-task, have good time management skills.
  • Adherence to confidentiality.
  • Excellent written and verbal communication skills.
Responsibilities
  • Purchase supplies, equipment, and services for the department.
  • Renew annual standing orders and inter-departmental IDs.
  • Process invoices, including lab analysis invoices with appropriate departments.
  • Request reimbursement from departments for environmental compliance permits, hazardous and medical waste.
  • Pickup/disposal, sampling.
  • Reconcile with journal entries.
  • Reconcile credit card and budgetary operating expenditures.
  • Process incoming/outgoing mail, package receiving/shipping.
  • Answer departmental phone, monitor departmental email and be reception for department’s main office.
  • Support meeting coordination.
  • Monitor supply and equipment inventories.
  • Assist with office machine maintenance, repairs and replacements.
  • As needed, assist with weekly payroll tasks, staff vacation monitoring, etc..
  • Assist with onboarding new employees, coordinate keys, cellphones, etc.
  • Data entry, including sampling results, training and occupational health records.
  • Schedule and track employees training, scan, e-file, and training material.
  • Review and edit health, safety and compliance documents and reports.
  • Monitor environmental management compliance calendar and project tracking database.
  • Inspect and fill first aid kits, and inspect AED, etc.
  • Support chemical inventory updates and safety data sheet assignments.
  • Other duties as assigned.
