Executive Assistant to the Vice President for Academic Affairs and Provost
Department: VP Academic Affairs
Location: Wellesley Hills

Located in Greater Boston, MassBay is a comprehensive, open-access community college offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts.
Position Summary:
The ideal candidate will join a vibrant and inclusive educational community, and have a desire and ability to work with a diverse population. The Executive Assistant serves as the primary administrative support for the office of the Vice President for Academic Affairs and Provost. The Executive Assistant provides additional support to the Office of the President and serves as liaison to the Board of Trustees’ Student Success Committee.
Key Responsibilities and Duties:
  • Manage day-to-day functions for the Office of the Vice President for Academic Affairs and Provost;
  • Maintain positive working relationships with faculty, staff, and students across the College;
  • Serve as a resource for students, faculty, and staff on academic and related matters;
  • Address inquiries, concerns, and requests from internal and external constituencies in a helpful, professional, and timely manner;
  • Assist with budget preparation and maintenance;
  • Prepare invoices and purchase order requisitions for offices reporting to the Vice President;
  • Provide administrative support to the Honors Program;
  • Provide administrative support to the MassBay Alpha Beta Gamma, Psi Beta, and Phi Theta Kappa Honor Society chapters;
  • Plan and coordinate Evening of Excellence annual event and other special events as assigned;
  • Collaborate with faculty, staff, and administrators on special projects and activities as assigned;
  • Manage the Vice President’s calendar;
  • Prepare meeting materials;
  • Take meeting minutes for the Faculty/Professional Staff meetings;
  • Coordinate travel arrangements and process travel expense reimbursements for the Vice President’s office;
  • Assist with routine collective bargaining agreement compliance activities;
  • Prepare and edit correspondence, reports, meeting minutes, and other documents;
  • Exercise sound judgement especially when handling confidential and sensitive information;
  • Perform other tasks as assigned.

  • Engage in conversations with colleagues and students regarding best practices related to equity and inclusion.

Required Qualifications:
  • Bachelor’s degree required;
  • Minimum five years of administrative experience or equivalent;
  • Proficiency in Microsoft Office applications and familiarity with student information systems;
  • Demonstrated experience providing excellent customer service;
  • Excellent written and interpersonal communication skills;
  • Demonstrated ability to prioritize tasks in a fast-paced environment.

  • Sensitivity and commitment to the goals of Affirmative Action and workforce diversity;
  • Experience working in a diverse environment;
  • Demonstrated commitment to working with underserved students.

Additional Information:
Salary Range: $65,000.00 - 70,000.00 Annual Salary
Classification Type: Regular Employee
