The Classroom to Career (C2) Hub engages students, faculty, and industry leaders to develop a comprehensive approach to career development for
MSU Denver students with robust and impactful programs and activities. The C2 Hub is designed to create a more permeable boundary between MSU Denver and industry partners to leverage career opportunities for students.

The Office Manager and Assistant reports to the Associate Vice President of the C2 Hub. With other key staff, the role will focus primarily on developing internal operations to ensure efficiency and effectiveness of C2 Hub programs and activities. The position responsibilities are broad, dynamic, and essential to the overall operations of the university and in particular to effective student, employer, and faculty support. The position calls for an individual who is interested in diverse work projects, is detail oriented and an excellent communicator, enjoys a fast-paced and student-focused environment, and who is able to work autonomously. The position also calls for a creative solution-oriented problem solver, and for a professional who exercises sound judgement.

IND208 Duties/Responsibilities
Executive Support to the AVP (40%)

Manage complex calendar for the Associate Vice President including arranging meeting locations, pre and post communication to attendees, catering, parking, and other logistics related to schedule.

Schedules complex group meetings and individual appointments and updates the Associate Vice President on all schedule changes.

Assist AVP with travel plans and respective pre and post travel logistics.

In collaboration with other C2 Hub operations staff, manage high level communication and meeting management including leading and tracking agenda items and post-meeting minutes.

Maintain accurate organizational chart as the development of the C2 Hub evolves;

Responsible for developing effective systems for managing the Vice President’s administrative needs.

As needed, support directors within the C2 Hub on scheduling, strategic plan initiatives, communication plan, resource allocation and coordination, personnel recordkeeping, and travel and accommodation arrangements.

Office Management (30%)

Create and manage a program to recruit, train, and supervise a team of student employees that will oversee front desk operations to ensure excellent and professional responsiveness. Manage professional development activities for student staff and oversee overal performance metrics.

Oversee and ensure the daily administrative operations are cohesive between all C2Hub locations.

Create and manage systems that lead to efficiency and effective core operations including SharePoint management, C2 Hub staff directory, and respective organizational charts with the input from C2 Hub directors.

Purchase/procure office supplies and equipment, maintain departmental inventories, and develop/maintain systems for effective office operations related to supply and equipment management.

Budget Management (30%)

Support C2 Hub leadership team with budget reports and annual forecasting and budget management responsibilities; Monitor budget activity and track all expenditures; maintain error-free division accounting practices and provide quarterly or timely reports to the Associate Vice President and directors.

Create a strategy and timeline to merge budgets into one cohesively managed budget for the Classroom to Career Hub; Ensure C2Hub expenditures and revenue is aligned to emerging MSU Denver strategic plan and presidential priorities for the C2Hub.

Manage departmental corporate card(s) and corresponding processes in alignment with university procedures and expectations.

Track budgets and prepare recurring and ad hoc budget reports. Use Banner finance modules to verify expenditures and/or revenue is accurate. Required Qualifications
Experience providing administrative assistance at the Director level or above.

Front desk office management experience.

Budget management experience that includes purchasing, purchase orders, tracking orders, record keeping, fiscal reports and maintaining budgets.

Experience supervising student employees.

Bachelor’s degree or the equivalent combination of education and experience (one year of education is equivalent to two years of experience).

Demonstrated experience supporting programs related to college access, equity and social justice.

Ability and desire to work with a diverse student body (including, but not limited to: working adults, women, persons with disabilities, active duty/veteran military personnel, students with multiple and varying ethnic, racial and national backgrounds, etc.) to increase student retention and completion.

Knowledge of state and MSU Denver finance and procurement policies and procedures needed to maintain fiscal compliance.

Excellent eye for detail and organizational, time management and problem solving skills.

Excellent communication skills both in writing and speaking.
